Overview
The Executive Assistant will handle a wide range of administrative and project management support the CEO of Publicis Collective. They should exhibit professionalism, solid judgment, and discretion, with excellent written and verbal communications. This person must be proactive in anticipating and prioritizing the business needs of the Executive and must possess superb time management skills, a productive approach toward work, and a strong sense of urgency. The Executive Assistant role will be based out of our New York City office.
Responsibilities
+ Manage and maintain calendar schedule; monitoring, updating, and prioritizing utilizing sound judgment and strong decision-making skills
+ Schedule, coordinate, and confirm meetings to include:
+ Reserve conference rooms
+ Set up equipment
+ Place catering orders when needed
+ Initiate conference calls when necessary
+ Manage travel arrangements including flights, hotels, and ground transportation
+ Accurate and timely expense reporting & timesheet preparation and submission on behalf of the Executive
+ Approve travel, time off, and expenses for Executives direct reports
+ Develop, review, and edit regular and confidential correspondence, presentations, and reports
+ Consolidate monthly and/or quarterly data and reporting
+ Demonstrate confidentiality when handling sensitive information and matters
+ Engage and manage specific projects throughout their life cycle, ensuring initiatives remain on track and flag issues that jeopardize the quality or timeliness of deliverable
Qualifications
+ At least 8 years of administrative support experience with a minimum of 3 years experience supporting C-level executives
+ Previous experience in dealing with confidential information and with senior management
+ Proficiency in Microsoft Office products - Outlook, Word, Excel, PowerPoint
+ Excellent verbal, written and interpersonal skills
+ High level of confidentiality, trust, and integrity
+ Ability to multi-task and prioritize in a fast-paced environment
+ Strong organizational, analytical and problem-solving skills
+ Strong attention to detail
+ Ability to take initiative, work independently, and effectively under pressure producing accurate and consistent results

Compensation Range: $97,375 - $155,961 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
