    ABOUT US

    DMHAS is a health care agency whose mission is to promote the overall health and wellness of persons with behavioral health needs through an integrated network of holistic, comprehensive, effective, and efficient services and supports that foster dignity, respect, and self-sufficiency in those we serve.

     

    WCMHN was formed in 1996 in order to coordinate clinical, fiscal and administrative oversight of Region 5 contracted and state-operated mental health services. Their mission is to provide a comprehensive and effective recovery-oriented system of mental health and addiction services that promotes self-sufficiency, dignity, cultural sensitivity and respect.

     

    Within this service system, there are three state-operated Local Mental Health Authorities, which are located in Waterbury, Danbury and Torrington. In partnership with WCMHN, they provide and coordinate local clinical services. Over 200 staff including psychiatrists, nurses, social workers, rehabilitation and mental health workers provide services for persons with a long-term mental illness. Approximately 7,000 clients receive services in a variety of programs, including peer support programs, recovery services, supported employment, homeless services, residential, crisis services, jail diversion, outpatient, case management, Assertive Community Treatment Teams (ACTT) and young adult services.

    PURPOSE OF JOB CLASS (NATURE OF WORK)

    Acts as personal secretary and provides office management to the administrative head and/or to each undersecretary or deputy to such head of a department or institution as authorized by Section 5-198(11) of the Connecticut General Statutes.

    EXAMPLES OF DUTIES

    + Perform administrative tasks through interaction with the public and routine contacts with the Office of the Commissioner and other state executives;

    + Act as a confidential liaison around HR issues between Labor and Management;

    + Act as a liaison between the CEO and other WCMHN managers, Network Agency Directors, clients, staff and the general public;

    + Respond to client phone calls, requests and complaints, utilizing positive customer service;

    + Maintain the CEO's schedule coordinating WCMHN, Site specific, and various state-wide obligations;

    + Act as a support liaison to the Learning Management System (LMS) for the organization, fielding calls for technical and registration assistance;

    + Act as administrative liaison to various network wide work groups and committees at the request of the CEO;

    + Collect information, prepare agendas, compose minutes, and distribute materials;

    + Prioritize and coordinates data and assignments for action by the CEO;

    + Take and transcribes confidential correspondence from the CEO;

    + Send out timely email reminders for upcoming meetings and events to all participants;

    + Promote and coordinate the WCMHN employee recognition program;

    + Coordinate and schedules network wide new employee orientation;

    + Coordinate and publish the Network Newsletter;

    + Maintain WCMHN Sharepoint and uploading various documents;

    + Maintain overtime databases utilized throughout Network;

    + Collaborate with HR to ensure Joint Commission compliance;

    + Prepare Medicare applications for all licensed staff;

    + Maintain performance appraisal processes including annual service ratings, and Competency Based Functional Job Descriptions;

    + Promote and perform safe work practices and observe all confidentiality and client rights regulations

    KNOWLEDGE, SKILL AND ABILITY

    + Considerable knowledge of

    + office administration and management;

    + functions, procedures, programs and regulations of relevant organizational unit;

    PREFERRED QUALIFICATIONS

    + Experience managing confidential or sensitive information, such as personnel records, financial data, and regulatory documents

    + Experience using Microsoft PowerPoint and Word to create complex presentations and communications

    + Experience using Microsoft Excel to create reports and manage data, including using formulas and pivot tables

    + Experience building relationships and supporting individuals across all organizational levels to increase communication between departments and increase employee engagement

    + Experience managing multiple high-priority tasks simultaneously while producing error-free work and meeting deadlines

    + Experience using Microsoft Outlook to manage calendars, email inboxes, coordinate meetings, and other scheduling needs

    + Experience working in a fast-paced health system and adapting quickly to changing priorities and demands
