    POSITION PROFILE

    Serves as a primary point of direct administrative contact and liaison with other departments, individuals, and external agencies on a range of specified issues; organizes and facilitates meetings, conferences and other special events as required. Monitors and coordinates accounting activities as appropriate and prepares internal reports for multiple teams with primary support of our Planning team. Assists in the coordination, supervision, and completion of special projects as appropriate.

    Job Duties and Responsibilities

    + Supports planning team with space assignments, ServiceZone updates, and work requests.

    + Coordinates signage requests, renovation projects, and Neighborhood Coordinator activities.

    + Provide customer guidance on processes including priority meeting requests, SharePoints, and distribution lists.

    + Monitors software systems including Service Zone, SmartWays Management, and SAP Ariba/myBuy.

    Facility Coordination Support

    + Monitor software systems and create tickets and reporting within Service Zone, Qualtrics, and SAP Ariba/myBuy.

    + Create department requisitions, track PO’s, monitor invoicing, troubleshoot AP/AR issues.

    + Maintains daily routine functions to include work orders, contractor monitoring, inspections, resolving facility related issues, lending support as required to other business groups.

    + Interacts with contracted vendors

    + Works independently and leads projects, large company & team events, and related programs.

    + Provide IT and calendar management of large conference rooms.

    + Act as lead to creating signage and provide instruction to on-site staff

    Support Communications/Change Management Processes

    + MS Systems: Teams, SharePoint, and VivaEngage and other support process needs when directed.

    + Support creating/displaying poster boards for campus communications.

    + Campus signage/picture support.

    + Request estimates/quotes from various vendors.

    + P-Card reconciliation.

    + Supply ordering for necessary department supplies.

    + Performs all other duties as required.
