    Senior On‑Site Service Specialist

    Position Profile

    The Senior On‑Site Service Specialist provides operational support in one or more of the following areas: high‑volume duplicating/production, sorting, mailing, bindery tasks, equipment operation, and basic maintenance. Responsibilities include copying, scanning, shipping and receiving, distributing mail and supplies, and applying postage. The role may also include light equipment troubleshooting and customer service.

     

    This position may perform additional duties such as bindery, quality control, final checks, housekeeping/hospitality, file services, call center support, and occasional receptionist duties. Because this role requires higher‑level presentation and telephone skills, it is classified as a Senior On‑Site Service Specialist.

     

    Reports to: **Site Manager, Site Supervisor, or Assistant Site Manager** , depending on site structure.

    Job Duties and Responsibilities

    + Operates high‑volume and production copy machines; performs binding and finishing work.

    + Ensures convenience copiers are functioning correctly, performing daily quality checks and clearing paper jams. Reports issues to technicians.

    + Performs basic equipment troubleshooting and escalates service calls as needed.

    + Sets up equipment per customer requirements (loading paper, adding toner, etc.).

    + Performs scanning and imaging of documents.

    + Provides temporary/occasional reception services as needed.

    + Maintains records for management reports and supply inventories.

    + Distributes office supplies, mail, fax transmissions, and packages to personnel or designated locations.

    + Calculates charges for completed jobs, maintains logs, and may generate reports.

    + Responds to, logs, and coordinates customer service requests.

    + Performs filing duties, including document purging and archiving.

    + Delivers completed jobs to designated customer locations onsite or offsite.

    + Maintains daily meter readings and service logs.

    + May travel between multiple customer buildings.

    + Answers customer questions regarding job status or feasibility.

    + Ensures convenience copier areas are neat, organized, and well stocked.

    + Performs shipping and receiving duties.

    + Supports meeting and conference room setups.

    + Assists with internal occupant moves within assigned facilities.

    + Performs light maintenance and cleaning tasks as assigned.

    + May perform dock work in a mailroom environment.

    + May require overtime, including nights, weekends, or emergency response.

    + Operates shrink‑wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales.

    + Uses all copier equipment, calculators, fax machines, postage meters, and basic PC applications.

    + Demonstrates understanding of Ricoh Services Portfolio & Technology.

    + Ensures accurate data capture for Ricoh MOR, SPG, and job logs.

    + Performs other duties as assigned.

    Qualifications (Education, Experience, Certifications)

    + High school diploma or GED required.

    + 1–2 years of related work experience.

    + Prior copy/print job experience preferred.

    + Valid driver’s license and minimum auto insurance may be required per Ricoh policy.

    + Competency in basic computer skills, including Microsoft Office Suite proficiency.

    Knowledge, Skills, and Abilities

    + Working knowledge of copiers and related equipment; basic repair knowledge preferred.

    + Understanding of shipping and receiving procedures.

    + Basic electronics knowledge preferred.

    + Ability to work independently and adapt to changing tasks.

    + Ability to determine proper packing methods and verify packing slip accuracy.

    + Ability to follow mail delivery instructions.

    + Strong troubleshooting and problem‑solving abilities.

    + Ability to read and understand technical manuals and documentation.

    + Excellent customer service and verbal communication skills.

    Working Conditions, Mental and Physical Demands

    + Frequent exposure to copier/fax machine noise, toner, temperature changes, and potential for paper cuts.

    + Exposure to weather when traveling between buildings; site equipment may present safety risks.

    + Daily interaction with customers, employees, managers, and dispatch; occasional vendor or repair technician contact.

    + High stress due to tight deadlines and quick turnaround times.

    + Requires physical activity such as extended standing, walking, bending, reaching, climbing, and lifting up to 50 lbs.

    + May require pushing/pulling powered equipment on wheels weighing up to 400 lbs.

    + Walking between buildings may be necessary.
