Job Description
The Iowa Judicial Branch, in Polk County seeks applicants for a Records Clerk to perform the clerical support and customer service for efficient court operations and maintain the integrity of court records utilizing a structured/detailed filing system.
This position will maintain court files in paper, docket books and microfilm. This position will provide customer service to assist court users in-person, via email and on the phone with general requests on court-related matters, and copies. This position will also provide customer service and support for judges and other court clerk employees. This position will open courthouse mail and provide two daily deliveries to other court buildings. This position will require the ability to stand, sit, bend, reach, stretch, climb, and perform repetitive motions throughout the workday, including lifting and carrying boxes or files typically weighing up to 20-30 lbs. This position will do data entry for final disposition reports filed by law enforcement.
The successful candidate will be able to learn and navigate court record-specific computer programs, technology, and a color-coded numeric filing system. This position will have the ability to professionally communicate in person and on the phone with a variety of court users. The successful candidate will have keen attention to detail to maintain the accuracy and integrity of court records. This position may occasionally travel to other counties within the judicial district.

The pay range for this position is $19.07 - $30.14 per hour. This is a contract-covered, FLSA non-exempt position. The starting salary for new state employees is expected to be at the base of the pay range. Adjustments may be made if the successful candidate has relevant experience.
Position classification is determined as the ‘best fit’ of the duties assigned to and performed by a position. This position is classified as a Records Clerk as summarized below.
Summary
Perform customer service, clerical, and administrative work necessary for court operations and case file integrity.
Examples of Duties and Responsibilities
Provide customer service by responding to inquiries from the public, attorneys, and court employees.
Maintain, organize, and update physical and electronic court/justice system records.
File case documents using numeric, alphabetical, and subject-based filing systems.
Retrieve, assemble, and distribute case files for court personnel, attorneys, law enforcement, outside agencies and members of the public.
Ensure proper handling, security, and confidentiality of sensitive and restricted documents.
Process incoming documentation, correspondence, and record requests.
Perform data entry, scanning, indexing, and routine record audits for accuracy.
Assist in purging, archiving, and transferring records in compliance with retention schedules.
Provide basic clerical support, including copying, filing, and responding to internal inquiries.
Coordinate with law enforcement, court staff, attorneys, judges, and members of the public.
Other duties as assigned.

This is a non-merit position with the Iowa Judicial Branch. Candidates must follow the instructions in the "To Apply" section.

Minimum Qualification Requirements
The incumbent must meet the minimum requirements to qualify for the position.
+ High school diploma (or high school equivalency diploma).

Preferred Qualifications
Experience with numeric filing systems, case indexing, or records management software.
Legal experience
Document handling experience, including scanning, indexing, and file preparation.
Case file management or responsibility for maintaining structured filing systems.
Experience working with confidential or protected records
