The Board of Behavioral Health and Therapy exists to regulate the practices of alcohol and drug counseling and professional counseling in the State of Minnesota. Regulation of these professions is necessary to protect the health, safety and welfare of the public when they receive mental health and chemical health counseling services. The Board carries out its mission through effective licensure and enforcement of statutes and rules that ensure a standard of competent and ethical practice.
The Office and Administrative Specialist perform the duties of administrative assistant for the Minnesota Board of Behavioral Health and Therapy (BBHT). The responsibilities include: provide clerical and administrative support to the staff of the BBHT; to assist customers with licensure and regulatory questions by phone, email, or in person; to route phone calls and emails to appropriate staff; to open and route incoming mail; to enter data into the licensing database; to prepare daily deposits; to assist in processing license applications and renewals; to assist BBHT staff with duties related to other regulatory requirements, including continuing education and complaint resolution; and to supply other general and routine office support as requested by the Executive Director.
Minimum Qualifications

+ Keyboarding/typing skill, using Microsoft Word or equivalent software, sufficient to produce documents such as emails, memos, form letters and other correspondence in an efficient and timely manner
+ Ability to use math to calculate and verify totals on reports, requisitions or bills, generate cash receipts, verify totals and prepare a daily deposit
+ Customer service skills sufficient to: (1) perform the duties with politeness, respect, and interest in positive problem solving; (2) provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence; and (3) respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence)
+ Skills in database management sufficient to enter and retrieve data and perform searches to find relevant information and generate a variety of up-to-date reports
+ Knowledge of communication sufficient to: (1) read, explain, and interpret a variety of materials; (2) follow detailed instructions and explain complex processes to customers; and (3) write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction
Preferred Qualifications
+ Knowledge of licensure application process and forms sufficient to provide a general explanation to applicant inquiries regarding the licensure and regulatory processes
+ Demonstrated ability to organize and prioritize tasks
+ Ability to patiently listen to customers to the extent that the customers feel their concern has been taken seriously
+ Knowledge of the Minnesota Data Practices Act sufficient to understand what information may or may not be given to members of the public
+ Experience operating standard office equipment such as a copier, scanner, fax, computer, and printer
