    Payroll Specialist – People & Organization

     

    Reporting Structure: Reports to Vice President, People & Organization, with a dotted line to Accounting & Finance

    Position Overview:

    The Payroll Specialist is responsible for end-to-end payroll processing for a multi-entity, global organization. This role ensures timely, accurate payroll execution and compliance with all applicable laws and regulations. The Payroll Specialist serves as the main point of contact for payroll inquiries and collaborates closely with Human Resources and Finance teams to support seamless payroll operations and uphold company standards.

    Responsibilities:

    + Process weekly, semi-monthly, monthly, and off-cycle payroll for all staff.

    + Perform accurate calculations for hours worked, overtime, bonuses, and deductions.

    + Audit timecards and ensure proper data entry in payroll systems.

    + Ensure payroll practices comply with federal, state, and local regulations, including tax filings and garnishments.

    + Prepare and submit payroll tax reports and payments in a timely manner.

    + Coordinate annual and year-end payroll activities such as W-2 and ACA form distribution.

    + Respond to employee inquiries related to compensation, deductions, benefits, and timekeeping.

    + Administer direct deposit enrollments and changes.

    + Support payroll setup for new jurisdictions.

    + Complete required government reporting for federal and state agencies.

    + Generate recurring payroll and compliance reports for management.

    + Advise teams on payroll policies and procedures.

    + Maintain accurate payroll records and protect confidential information.

    + Update payroll system with new hires, departures, and status changes.

    + Perform regular audits to confirm data accuracy.

    + Serve as a liaison for internal and external payroll audits.

    + Conduct bi-annual compensation benchmarking and pay band review.

    + Manage reporting of new hires and contractors as required by state regulations.

    + Identify and implement improvements to payroll workflows and technology.

    + Take part in additional projects and duties as assigned.

    Qualifications:

    + Bachelor’s degree in Accounting, Finance, or a related discipline.

    + At least 3 years of experience in payroll processing.

    + Experience working with payroll and accounting systems (such as ADP Workforce Now, ADP TeamPay, Concur, Great Plains, Microsoft Dynamics).

    + Strong attention to detail and exceptional organizational skills.

    + Advanced proficiency in Microsoft Excel and Office Suite.

    + In-depth knowledge of payroll laws, tax regulations, and compliance requirements.

    + Excellent communication and problem-solving abilities.
