Quail Electronics, Inc. is a world leader in domestic and international power cord supplies for the OEM market for nearly 30 years. https://www.quail.com/ Job Title: Document Control Administrator Department: Marketing Job Type: Full-time/Hourly-Non Exempt Job Overview: The Document Control Administrator is responsible for managing and maintaining all customer-facing technical, operational, and administrative controlled documents within the company. This includes ensuring proper documentation and storage practices, as well as coordinating document flow processes to ensure timely access and retrieval by relevant personnel. The position owns the compliance document process, ensuring timely fulfillment of customer requests for product related certifications. Key Responsibilities: * Document Management: Ensure all documents, records, and files (electronic or physical) are organized, stored, and maintained according to company standards. * Version Control: Maintain version control for all documents and ensure that the current versions are accessible while outdated or obsolete versions are properly archived or destroyed. * Document Distribution: Distribute and share documents with appropriate stakeholders, ensuring correct formats and timely delivery. * Compliance & Standards: Ensure all documentation complies with company branding guidelines, policies, regulatory standards (e.g., ISO). * Audit Preparation: Assist in audits by providing necessary documentation and supporting audit activities as required. * Tracking & Reporting: Track document review and approval cycles with owners, ensuring deadlines are met for document revisions, approvals, and implementation. * Collaboration: Work with different departments (e.g., Quality Assurance, Sales, Marketing, HR, Finance) to assist with document creation, revisions, and updates. * Document Retrieval: Ensure quick and accurate retrieval of documents upon request and maintain efficient systems for both physical and digital records. * Product Compliance: Ensures all customer requests for compliance certifications are logged and fulfilled according to scheduled deadlines. * Perform other related duties as assigned. Qualifications: * High school diploma or equivalent required; Associate degree or higher preferred. * Proficiency in MS Office, Teams and SharePoint.. * Experience with ERP, CRM and other enterprise software is desirable. * Strong organizational skills and attention to detail. * Knowledge of industry regulations and quality management standards (e.g., ISO 9001). * Excellent communication skills, both written and verbal. * Ability to manage multiple tasks and prioritize effectively. Preferred Skills: * Advanced in MS Excel. * Familiarity with safety and environmental regulatory documentation requirements in the electronics industry. * Basic knowledge of quality management systems (QMS) and ISO framework. In addition to base salary, this job may be eligible to participate in our corporate discretionary bonus program, and depending on the position offered, it may also be eligible to receive a commission. To provide greater transparency to candidates, we share base pay ranges for all California based jobs. We set standard base pay ranges for all roles based on function, level, and geographic location, benchmarked against similar industry companies. Final offer amounts are determined by multiple factors including skills, depth of work experience and relevant licenses/credentials, and may vary from the amounts listed below.
