Description
IMDb seeks a self-driven, highly organized, customer-obsessed Executive Assistant to support the LA-based General Manager of IMDbPro and the Seattle-based Director of IMDb Worldwide Communications (WWC).

Working directly with two senior leaders, you will drive critical initiatives across the IMDbPro subscription and licensing businesses as well as the company's global brand, communications, and talent relations strategies. As the cultural anchor for the Santa Monica office, you will manage team events and maintain office engagement.
Success in this position requires strong planning and communication skills. The ideal candidate demonstrates a bias for action and operates proactively and strategically, anticipating needs based on a thorough understanding of leadership and team priorities. Critical success factors include looking around corners, maintaining impeccable attention to detail, exercising strong judgment, and meeting tight deadlines while juggling multiple requests across global teams. Handling confidential information with integrity and discretion is essential, as is maintaining professionalism when dealing with senior executives inside and outside the company.
Key job responsibilities
* Manage complex calendars and high-volume meeting requests across multiple time zones for two senior executives
* Coordinate domestic and international travel arrangements, including expense report submission
* Lead and execute team culture initiatives, office activities, and events in the Santa Monica office
* Plan and execute staff meetings and offsite events throughout the year
* Track key deliverables and drive completion of action items
* Maintain knowledge management systems including team wikis to ensure documentation remains current and accessible
* Partner with leadership to provide support for business cycles and operational mechanisms
* Support employee onboarding processes
* Coordinate effectively with EA peers, internal stakeholders, guild representatives, and entertainment industry professionals
* Champion IMDb's culture and maintain team engagement as the EA in the Santa Monica office
A day in the life
Each day varies but typically involves:
* Managing high-volume email communications
* Coordinating complex, high-priority meetings with stakeholders across the organization
* Arranging travel for industry conferences and other events
* Tracking action items from leadership meetings
* Managing logistics for product launch and team events
* Working independently in an ambiguous environment, completing tasks with minimal guidance
Basic Qualifications
- 2+ years of senior level leadership support, or 1+ years of Amazon experience
- Experience with Microsoft Office products and applications
- Experience managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel
- Experience prioritizing and handling multiple assignments at any given time while maintaining commitment to deadlines
- High school or equivalent diploma
Preferred Qualifications
- 3+ years of senior level leadership support experience
- Experience designing processes to maximize efficiency
- Experience with software or hardware troubleshooting and device connectivity
- Experience in media, entertainment, or tech industries
- Proficiency with business tools (Concur, Slack, Wiki platforms, Microsoft Office)
- Demonstrated comfort using generative AI tools to enhance productivity
- Experience working with entertainment industry stakeholders, guilds, or associations

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $50,000/year in our lowest geographic market up to $107,100/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company.
