Brief Position Overview
Under the direction of the Associate Vice President for University Initiatives/Director, Hilleman Scholars Program, the Associate Director for Hilleman Scholar Success provides important leadership to advance a signature program of Montana State University.
In keeping with MSU’s land grant mission, the Associate Director will foster innovation and best practices to improve student outcomes at MSU within the Hilleman Scholar cohort. The Associate Director will support, inspire and guide the next generation of Montanans through excellent and responsive program management leveraging both on and off campus partnerships to develop and enhance the program.
The Associate Director will focus on efforts related to “today” and “tomorrow”, ensuring we recruit, retain, and graduate student scholars so they are positioned to have viable careers where they can lead for themselves, families and communities across Montana.

General Statement
Under the direction of Associate Vice President for University Initiatives and the Director of the Hilleman Scholars Program, the Scholar Success Program Manager is responsible for developing, managing and implementing key aspects of the Hilleman Scholars program related to Hilleman Scholar case management for all four years of the program. The Program Manager will engage with a cross-disciplinary and functional team to conceive, design, and develop innovative strategies and solutions. The successful candidate will combine an ability to “think big” with the ability to “move quick.” They will also be instrumental in the onboarding process for new scholars after they have been accepted to the program and will also assist with scholar recruitment programs.
The Hilleman Scholar Success Associate Director will work to convey compassion and support along-side high expectations for academic, leadership and career outcomes. This work will be accomplished through one-on-one coaching appointments, small groups, and large group meetings. The associate director will work closely with on-campus partners to deliver these services.
The Associate Director will be a data-driven decision maker who is creative and will set high standards. They will thrive in an entrepreneurial environment and not be hindered by ambiguity or multiple competing priorities. The ideal candidate will relish supporting students with great potential informed by a servant-leader mindset – supporting access and excellence at MSU .
The Associate Director is a member of a team that is focused on driving outcomes to improve persistence, graduation rates and career outcomes for MSU Hilleman Scholars.
Duties and Responsibilities
+ Create and support appropriate case management models for each year of the four-year Hilleman Scholars Program.
+ Plan and coordinate the scholar experience for the Summer Success Academy, including working with housing, food services, tutoring, writing center, conference services, catering, etc.
+ Hire, manage, train, supervise and mentor student employees including thirteen Hilleman Scholars Mentors and at least two student associates to provide program support.
+ Identify, drive, and develop best practices, efficiencies, and project workflows in support of generating high retention and graduation rates/scholar success outcomes.
+ Be comfortable having “crucial conversations” with scholars to help troubleshoot specific issue and to aid a sense of purpose and belonging.
+ Communicate with teammates, campus colleagues, and management on scholar needs/issues, project status, strategy, risks, and issues.
+ Work with the Access & Success team to resource tutoring, success advising and other supports into the program.
+ Provide internship planning and professional development experiences related to Projects of
Consequence – a signature part of the MSU Hilleman Scholars Program.
+ Ensure scholars engage in FLOW Zones, tutoring, critical thinking, study cycle, and tiny habit training by infusing those and other program themes into the operational efforts
+ Anticipate bottlenecks, provide escalation management, make tradeoffs, and balance program needs within the context of the university environment.
+ Ensure scholars attend class, engage in their coursework and maintain satisfactory academic outcomes. Manage a system of red, yellow, greens to
+ Plan, manage, attend Hilleman Scholar Monday night classes/meetings by working with the Director and instructors to ensure attendance and engagement.
+ Assist with donor/investor development activities by coordinating scholar attendance and participation.
Required Qualifications – Experience, Education, Knowledge & Skills
+ Bachelor’s Degree in related field, or an equivalent combination of education and/or experience.
+ Demonstrated experience in program development, management, implementation and delivery assessment.
+ Demonstrated competence using personal computers and various software such as word processing, spreadsheets, database, presentation, email and internet.
+ Demonstrated experience of strong data analysis, problem-solving, and project management skills where data and metrics were utilized to back up assumptions, recommendations, and drive actions.
+ Demonstrated experience communicating (oral and written) to constituents with various backgrounds and experiences.
+ Demonstrated experience of working in a fast-paced environment where continuous innovation and improvement is desired.
+ Demonstrated experience bringing together stakeholders with different interests to move projects and initiatives forward.
Preferred Qualifications – Experience, Education, Knowledge & Skills
+ Master’s degree.
+ Demonstrated experience with project management/case management/social work.
+ Demonstrated experience in coordinating multiple initiatives while working with various constituents bringing project to a successful completion.
+ Demonstrated experience with developing written content for specific audiences (donors, foundations, students, campus partners, etc.)
+ Demonstrated experience writing grants or reports intended to influence funding resources.
+ Demonstrated experience planning events or programs with multiple constrains and considerations that must be thought-through or planned.
+ Experience with spreadsheets & word processing.

Position Special Requirements/Additional Information
+ This position will require scheduled evening and potential weekend hours to host events and interact with students.
