Job Summary
The Surgery Scheduler - Clinics is responsible for coordinating and scheduling surgical procedures for patients in a clinical setting. This role ensures accuracy in scheduling, proper documentation, and effective communication between patients, providers, and surgical teams. The Surgery Scheduler plays a vital role in ensuring an efficient workflow and a positive patient experience.
Essential Functions
+ Schedules surgical procedures, pre-operative appointments, and follow-up visits in coordination with surgeons and clinical staff.
+ Confirms surgery details with patients, including preparation instructions, arrival times, and necessary documentation.
+ Verifies patient insurance coverage and obtains prior authorizations as required.
+ Coordinates with surgical facilities to ensure proper scheduling, availability of resources, and compliance with protocols.
+ Ensures accurate and timely entry of surgical procedures into the scheduling system and electronic health records (EHR).
+ Communicates with patients regarding any scheduling changes, delays, or cancellations.
+ Collaborates with clinical teams to optimize surgical schedules and minimize conflicts.
+ Prepares and distributes surgery schedules to relevant departments, ensuring all necessary personnel are informed.
+ Maintains detailed records of scheduled procedures, cancellations, and reschedules.
+ Provides excellent customer service and serves as a point of contact for patient inquiries related to surgical scheduling.
+ Performs other duties as assigned.
+ Maintains regular and reliable attendance.
+ Complies with all policies and standards.
Qualifications
+ Associate Degree in Healthcare Administration or a related field preferred
+ 1-3 years of experience in medical scheduling, surgical coordination, or a related administrative role required
+ Experience in a clinical or hospital surgical scheduling environment preferred
Knowledge, Skills and Abilities
+ Strong knowledge of surgical scheduling processes and medical terminology.
+ Proficiency in electronic health records (EHR) and scheduling software.
+ Excellent organizational and multitasking skills to manage complex schedules.
+ Strong communication and interpersonal skills to interact with patients, providers, and surgical teams.
+ Ability to handle confidential patient information in compliance with HIPAA regulations.
+ Attention to detail to ensure accuracy in scheduling and documentation.
+ Proficiency in Microsoft Office Suite and other administrative tools.
+ Commitment to providing high-quality customer service and patient support.
