SUMMARY
This is a customer-facing position in the AACSB-accredited School of Business & Management, Center for Student Success. The Office Assistant 2 plays a critical role in our ability to serve students and other stakeholders that interact with our office and department. This includes current students, prospective students and their parents, external visitors, employers, alums, faculty, other staff, etc. The assistant will greet visitors and students and respond to standard inquiries regarding our programs and operations, referring to appropriate staff as needed. This includes in-person visits, phone calls, voicemail and email messages. Additionally, the position supports the Director of the Center for Student Success and the Chair of the Department of Public Administration, managing many of the administrative functions that enable the two units to run efficiently. Beyond basic office support and highly effective customer service skills, this role requires programmatic and curricular knowledge, accessing and running data in campus systems, budget keeping, and event planning.
JOB FUNCTIONS
Essential Functions:
+ Greets visitors and students, responding to standard inquiries and referring technical questions to appropriate staff. This includes in-person, phone calls, voicemail and email messages through individual and school addresses
+ Supports Center Director with accounting recruiting initiatives and other stakeholder engagement events. This includes coordinating logistics for events, arranging site visits, handling parking, catering, managing guest lists, etc.
+ Assists in organizing and setting up the School of Business Honors & Awards Ceremony, orientations, open houses, and networking events involving faculty, prospective and current students, alumni, advisory board members, and guests
+ Independently updates undergraduate four year plans whenever there is a curricular change and modify other promotional materials as needed
+ Assists with targeted Job & Internship E-Alerts to SOBAM students sent through Slate. This includes helping the Director pull together relevant opportunities, formatting in our previously designed template, and sending through Slate on behalf of our school
+ Adds faculty advisor assignments for undergraduate students in Slate. Run lists of students needing advisors several times a year and collaborate with advisement coordinator on individual assignments
+ Assigns faculty advisors and send welcome emails to PAD deposited students
+ Facilitates review, and processes course requests for transfer students and send appropriate communication to students regarding decisions
+ Assists with course overrides and registration at instruction of professional staff or faculty member
+ Schedules meetings and appointments as needed in Outlook and maintain computer lab schedule and conference room scheduling as needed. Schedules meetings with diverse internal groups; take minutes as needed
+ Orders supplies & equipment and maintain department accounts and budgets
+ Arranges travel for staff and faculty, including cost estimates, logistics, confirming funding sources, etc. Assists with travel reimbursements
REQUIREMENTS
Minimum Qualifications:
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
One year of clerical experience.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 2 NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 Full-Time, Brockport location.
Preferred Qualifications:
+ Experience in a customer-facing position with proven communication skills

37.5 hours/week: Monday - Friday 8:00am - 4:00pm
