Job Summary:
The Title IA Bookkeeper is responsible for managing and monitoring all financial transactions related to Title I, Part A federal funds. This role ensures compliance with federal, state, and district regulations by maintaining accurate financial records, supporting budgeting processes, coordinating purchasing and procurement, and preparing required documentation. The bookkeeper ensures that Title I funds are used effectively, efficiently, and in alignment with approved program plans.
Primary Duties & Responsibilities:
Financial Management & Compliance
+ Maintain an updated copy of Title IA Con App (including all amendments)
+ Maintain accurate and current financial records for all Title IA accounts.
+ Track expenditures, encumbrances, and balances to ensure compliant fund use.
+ Prepare and submit required documentation for audits, monitoring, and reporting.
+ Attend all Title I meetings and required trainings.
+ Ensure adherence to federal, state and district procedures.
Budget Support
+ Assist with the development, revision, and reconciliation of the Title IA budget.
+ Provide regular budget updates to supervisor, program coordinator, finance manager and school leaders.
+ Identify potential budget issues and recommend amendments as needed.
Purchasing & Procurement
+ Process receipts and pay all invoices in a timely manner.
+ Verify that all expenditures meet federal allowable-use requirements.
+ Maintain documentation for equipment, inventory, and materials purchased with Title I funds.
+ Call vendors to get quotes, packaging slips, and invoices.
Record Keeping & Reporting
+ Maintain organized financial logs, digital folders, and documentation required for audits.
+ Support timely submission of district and state financial forms and reports.
+ Uphold all documentation standards for monitoring and compliance.
Collaboration & Communication
+ Work collaboratively with supervisor, program coordinator, school leaders, and district finance staff.
+ Provide guidance to school personnel on financial procedures and allowable costs.
+ Communicate clearly and professionally regarding budget status and documentation needs.
Minimum Qualifications:
+ Associate’s degree from an accredited college in related field AND 2 years’ experience related to bookkeeping
Preferred Qualifications:
+ Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess the following:
+ Three (3) years of experience in bookkeeping and/or office management and grants
+ One (1) year of working with school district policies and practices
+ Excellent verbal and written communication skills
+ Proficiency in Microsoft Office
+ Bachelor’s degree in related field
