    The Risk Management Division is actively seeking a Claims Intake Specialist.

    This is administrative and customer service work in the coordinating and handling of insurance claims to determine type, cause, and severity in accordance with established rules and procedures. Work requires knowledge of techniques, methods, and procedures used in the handling of insurance claims which involves the use of specialized skills, which is acquired through a combination of training and considerable on the job experience. This position will evaluate the claims as to type, cause and severity and will schedule and distribute them to the proper adjusters. Contacts with applicants require basic courtesy, tact, and effectiveness in dealing with others, including contacts to request or provide information, ask questions, or obtain clarification. The administrative work is semi-routine in that tasks are covered by procedures or precedents, but some latitude is permitted to consider the most appropriate method, technique, or procedure to follow. The work involves similar situations and generally requires only the choice of the correct procedure. Work is performed in an office environment. Operates standard office equipment such as personal computers. The physical demands consist mainly of moving from one work location to another, sitting, or standing at a work-station for extended periods of time, and, dependent upon assigned work location, may be required to lift objects weighing up to 15 pounds. The work is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations, or workflow. Overall, the work is reviewed in terms of timeliness, compatibility with other work projects, and effectiveness in meeting requirements or expected results.

     

    Examples of Work

     

    + Responds to inquiries and complaints from the general public, some of which can be complex and sensitive in nature.

    + Evaluates incoming claims as to type and severity where accuracy is imperative.

    + Logs incoming claims into database.

    + Assigns claims to appropriate adjuster based on adjusters’ workload.

    + Verifies accuracy of financial claim reports and checks from treasury for liability settlements and expenses; digitally converts checks for storage.

    + Serves as a first-line contact person for incoming visitors and provides applicable information.

    + Processes settlement documentation for authorization through General Counsel, CFO, City Council Finance Chair and Mayor.

    + Opens and assesses Care Reports.

    + Files liability claims.

    + Assists Division Claims Manager and Risk Manager with administrative work as needed.

    + Demonstrates proficiency in the City of Jacksonville’s competencies.

    + Performs related work as required.

     

    Knowledge, Skills and Abilities

     

    + Knowledge of techniques, methods, and procedures used in an office setting.

    + Knowledge of personal computers and spreadsheet applications.

    + Knowledge of insurance claim and other related software applications.

    + Skill in multi-tasking.

    + Ability to read, prepare, comprehend, and analyze complex documents and reports.

    + Ability to read, comprehend, and apply job-related rules, policies, and procedures.

    + Ability to conduct effective communications with internal and external contacts.

    + Ability to operate standard office equipment including personal computer using word processing, spreadsheet, database and other related software, peripheral and electronic devices, copiers, scanners, fax machines, and calculators.

    + One year of education and/or experience in customer service or office administration.

    OTHER REQUIREMENTS:

    + The probationary period for this classification is six (6) months.

    LICENSING/CERTIFICATION/REGISTRATION:

    + Florida All Lines Claims Adjuster License must be obtained during the six-month probationary period and must be maintained during employment in this class.
