We also help keep NYC communities safe and rescue animals in need, responding to emergencies that involve animals as well as keeping our doors open 24/7 for people and animals in need.

    Summary

    The Development Operations Manager is a key member of ACC’s Development team, responsible for maintaining an efficient and accurate infrastructure that supports all fundraising activities. This position ensures the proper receipt, recording, processing, and acknowledgment of gifts and pledges, and works closely with the Finance team to reconcile donations and maintain accurate financial records.

     

    The Development Operations Manager manages critical information about individual, corporate, foundation, and government funders, as well as honorary and memorial gifts, bequests, matching gifts, and in-kind donations. This role works independently and collaboratively, supporting the Development team with systems, processes, reporting, and compliance to ensure smooth operations and strong donor stewardship.

    Required Qualifications:

    + Bachelor’s degree in nonprofit management, business administration, finance, or a related field, or an equivalent combination of education and relevant experience required.

    + 3–5 years of experience in nonprofit development operations, fundraising support, or donor database management required.

    + Advanced experience with a donor CRM such as Raiser’s Edge/NXT, including gift entry, imports and exports, queries, reporting, and maintaining data accuracy and integrity.

    + Advanced proficiency in Microsoft Excel, including regularly building and maintaining complex reports, cleaning and deduplicating data, reconciling datasets, and using formulas for fundraising and financial analysis.

    + Demonstrated experience with gift processing, donor acknowledgments, and reconciliation in collaboration with finance teams.

    + Strong organizational skills and meticulous attention to detail, with the ability to manage multiple deadlines and priorities.

    + Clear written and verbal communication skills and the ability to interact professionally with donors and colleagues.

    + Ability to work independently while collaborating effectively in a mission-driven, fast-paced environment.

    Essential Job Functions:

    + Oversee and manage gift-processing operations across multiple channels, including mailed gifts, bank lockbox deposits, credit card transactions, in-kind contributions, and third-party platforms, ensuring accurate recording and reconciliation in the donor database.

    + Monitor daily bank, lockbox, and donation platform activity to identify, verify, and record gifts accurately, in coordination with the Finance team.

    + Manage all donor and prospect data in Raiser’s Edge, including acceptance, recording, processing, and acknowledgment of monetary and in-kind gifts.

    + Exercise independent judgment in configuring and managing Blackbaud systems for detailed coding and tracking of constituent information, including data imports, batches, queries, exports, and reports.

    + Lead and evaluate the reconciliation of donations with ACC’s Director of Finance and Staff Accountant on a weekly and monthly basis, ensuring accuracy of all gift records and donor reporting, and supporting audit readiness.

    + Prepare and distribute recurring and ad hoc financial and development reports for the Finance team, including weekly, monthly, and third-party reconciliation reports, with complete and accurate supporting documentation.

    + Lead gift acknowledgment procedures for all donations, including preparation and mailing of donor acknowledgment letters, tribute and memorial cards, and other routine donor correspondence.

    + Ensure database integrity and operational controls, including managing permissions, internal controls, segregation of duties, data hygiene, and ongoing system maintenance to enhance accuracy and compliance.

    + Independently design and deliver regular and ad hoc reports on donor activity, revenue tracking, forecasting, and fundraising performance.

    Other Responsibilities:

    + Support fundraising initiatives and campaigns, including pre- and post- data entry, list creation for direct mail or email appeals, and tracking participation or engagement metrics.

    + Support portfolio management for the Director of Development, Senior Manager of Individual Giving, and Senior Manager of Institutional Giving, including tracking actions, preparing lists, updating records, and supporting follow-up.

    + Develop, document, and maintain standard operating procedures (SOPs) for development operations, including gift processing, data management, reporting, and reconciliation.

    + Maintain and organize the Development team’s cloud-based filing system (SharePoint), ensuring consistent file structure, naming conventions, version control, and easy access to key documents and reports.

    + Monitor and respond to general donor inquiries received via email and phone, providing timely and professional responses.

    + Collaborate with Development team members to optimize processes, improve workflows, and ensure smooth execution of department operations.

    + Other duties as assigned by the Director of Development.

    Preferred Qualifications:

    + Experience managing data transfers and integrations between systems using tools such as Omatic (ImportOmatic/Omatic Cloud).· Familiarity with online fundraising and donor engagement platforms such as Luminate Online, Classy, and corporate matching portals.

    + Experience supporting multiple fundraising functions (individual, institutional, campaigns) simultaneously.

    + Demonstrated interest in animal welfare or alignment with ACC’s mission and values.

    + Proven ability to improve workflows, documentation, or systems in a growing Development department.

     

    Work Environment

     

    This role is hybrid and will be based at ACC’s NYC Headquarters, our administrative office at 11 Park Place in lower Manhattan, with an expectation to be in the office 2 days per week or as needed. The position also requires willingness to travel to ACC’s five Animal Care Centers across the five boroughs, as well as to fundraising and media events as they arise. Because ACC houses hundreds of animals across its facilities at any given time, visits to our Care Centers involve exposure to fur, odors, and other airborne particles.

    Overtime: This is a non-union position and is not eligible for overtime.
