Job Description
General Scope of Duties
The Print and Mailing Services Manager, reporting to the Director of Auxiliary Operations, oversees all aspects of print and mailing services both on campus and with external vendors. This role involves evaluating, recommending, and managing systems for processing and distributing printed materials and mail to on- and off-campus locations. The manager serves as a resource for the College community on USPS rules and regulations, while also developing strategies to maximize postal savings and operational efficiency. Additionally, the manager ensures quality, timeliness, and cost-effectiveness of external print vendor services and oversees the receipt, sorting, and delivery of USPS , UPS , FedEx, and campus mail, including last-mile deliveries
General Duties and Responsibilities
+ Hire, train, develop, and manage a part-time and on-call staff of 3-5 and a student staff of 9-15.
+ Oversee all systems related to processing and distributing printed materials and mail, both on- and off-campus, and establish procedures to maximize postal savings and efficiency.
+ Ensure appropriate staffing during peak times, such as the start of the academic year.
+ Manage on-campus printing services and collaborate with external vendors to ensure quality, timeliness, and cost-effectiveness.
+ Oversee and maintain the fleet of Multi-Functional Devices, coordinating with vendors and IT when needed.
+ Manage the PaperCut software, including user accounts, troubleshooting, and integration with the college system.
+ Oversee Post Office software solutions and handle bulk mail permit reconciliation.
+ Coordinate with Amazon for locker installations.
+ Administer and manage the printing and mailing services budget.
+ Monitor project deadlines and coordinate jobs to meet college schedules, including special events.
+ Handle customer complaints and oversee documentation and record-keeping for Print and Postal Services.
+ Communicate with the campus community regarding print shop services and ensure compliance with the College’s Visual Identity and copyright laws.
+ Provide campus box (CB) numbers for new faculty, staff, and students, and manage updates for mailroom boxes.
+ Sort and deliver incoming mail, and act as a substitute mail courier as needed.
+ Assist customers with USPS regulations and ensure compliance with postal requirements for parcels and mail.
+ Sell postage to campus and community customers when needed and manage account billing.
+ Balance the clerks’ drawer, office safe, and department accounts monthly.
+ Participate in developing operational goals and procedures to improve efficiency.
+ Address customer inquiries and resolve complex postal or mail-related issues.
Education and Skills
+ Bachelor’s degree and 1 – 3 years of progressively responsible printing and mailing services experience or a combination of training and experience that provides the knowledge necessary to perform the duties of the position
+ Strong written and verbal communication skills
+ Adobe InDesign Knowledge and experience preferred
+ Well-organized, able to work under pressure and meet deadlines
+ Continued education regarding postal rules and regulations
+ Ability to interact well with a variety of people from all aspects of the college and community.
+ Ability to supervise and train employees to include organizing, prioritizing and scheduling work
+ Must be able to lift and carry packages up to 50 pounds
+ Knowledge of mail code stop addressing systems and mail routing systems and procedures; knowledge and understanding of USPS regulations pertaining to receipt and delivery of mail
+ High integrity needed to handle confidential information
+ Attention to detail
+ Some travel may be required

Salary Range $51,000 to $56,000
