    Your role…

     

    As an Office Facilities Coordinator for ReSource Pro, you will provide administrative support to the Lincoln IX Center office, Lincoln Management team, and broader US business support as needed. You will manage office facilities, equipment, and supplies to ensure the office operates effectively and efficiently. You will also be responsible for coordinating visits from Business Partners and clients to the office and supporting miscellaneous projects.

     

    After 3 months you will…

     

    + Provide administrative support to the IX Center Management Team (SDU, Talent, and IT leadership); Support scheduling, expense reimbursement, invoice processing, and special projects/initiatives

    + Support new hire onboarding and maintain security badge system; Provision new badges and coordinate with building management as needed; Maintain office floor plan and complete Workplace Occupancy reports

    + Oversee general administrative functions and logistics of the Lincoln office including office supply management, maintenance, repairs, and cleaning of office equipment, breakroom/kitchen supplies, and vendor management/communications; Coordinate with office landlords to meet internal needs in a timely manner

    + Manage conference room availability in the IX Center and other resources for training, meetings, conference calls, etc.

    + Receive visitors, send and receive packages, handle mail, and forward mail/phone calls to appropriate parties; Serve as the main phone line operator

    + Maintain, update, and disburse Emergency Response plan procedures/protocols; Educate new hires and office employees on protocols and coordinate yearly refresher training

    + Support and coordinate travel and accommodations for internal and external visitors to the Lincoln IX Center; Provide logistical support for transportation between the office and airports (Lincoln, Omaha, etc.); Create and maintain agendas and visit schedules

    + Prepare office space for visitors ; Set up conference rooms, coordinate meals/refreshments, secure office access, and support general meeting logistics

    + Manage corporate apartment; Schedule cleaning and routine maintenance and coordination as needed on other logistics

    + Support local and US initiatives as needed; Partner closely with other team members to ensure communication, collaboration, and partnership for all employees

    + Partner with Executive Administrative team and other Office coordinators as needed and cross collaborate and support where requested

     

    What You Need to Be Successful…

     

    + Bachelor's Degree in Hospitality, Business Administration, or equivalent

    + 2-4 years' administrative experience - customer service, retail, call center, or similar

    + Experience coordinating schedules, calendars, or travel for internal and external travelers

    + Strong written and oral Communication skills

    + Exceptional Organizational skills

    + Ability to independently make decisions and use judgement

    + Time Management skills and Initiative

    + Ability to partner effectively with diverse personalities and individuals within the organization - be a team player

    Your Compensation...

     

    Our salary ranges are based on paying competitively for our size and industry, and are one part of the total compensation package that also includes annual bonus eligibility, benefits, and other opportunities at ReSource Pro. Individual pay decisions are based on a number of factors, including qualifications for the role, experience level, skillset, geography, and balancing internal equity relative to other ReSource Pro employees. The salary range for this role is $16.28 - $27.66 per hour. The salary range may vary based on the specific geographic location in which the candidate resides.
