POSITION DETAILS
Reporting to the Roosevelt House Director, the Administrative Manager is responsible for steering the daily operations of Roosevelt House as a historic home, college facility, office space, and events venue. This role requires fostering collaborative relationships with main campus colleagues across various functions, including maintenance, human resources, budgeting, and technology.
In addition to CUNY Title overview, responsibilities include but are not limited to the following:
Strategically manage all calendar requests, ensuring alignment with the RH Director. Proactively monitor daily events to prevent scheduling conflicts.
Organize and facilitate bi-weekly senior staff meetings, collaborating with the RH Director and Program Directors to disseminate information and drive decision-making. Create and circulate meeting agendas and materials, document discussions, and track follow-up on action items.
Oversee the administration of the Roosevelt House budget, approximately $1.5 million, sourced from state tax levy, non-tax levy, and donor funds, under purview of Director:
-Collaborate with the RH Director and academic programs to formulate an annual budget.
-Supervise accounts payable and purchasing processes.
-Administer check requests and invoices, manage the corporate credit card bill, and maintain a comprehensive budget worksheet.
Ensure timely bi-weekly payroll submissions, coordinating closely with Hunter HR and Payroll departments to resolve any payroll and benefits discrepancies.
Advise academic programs regarding adjunct instructor budget submissions each semester.
Analyze monthly Hunter College Foundation fund balance reports and revenue/expenditure statements, ensuring fiscal accountability and transparency.
Manage the processing of donations through Raiser's Edge, ensuring accurate tracking and acknowledgment.
Monitor rental income using the Roosevelt House ledger, ensuring compliance with contractual obligations regarding estimates, invoices, security deposits, and payments.
Lead the recruitment, supervision, and mentoring of Roosevelt House staff, including events, communications, IT, and academic program coordinators. Authorize HR requests and manage time-off approvals.
Collaborate with the college ICIT department to ensure that AV/IT requirements are met, and that equipment remains current and functional.
Contribute to the formulation and execution of the Roosevelt House communications strategy. Support the communications manager in implementing cost-effective outreach initiatives, including social media and mass marketing campaigns.
Partner with the college facilities department to guarantee the proper maintenance of the historic site. Engage in long-term maintenance planning and address issues promptly, ensuring effective communication regarding repair and replacement needs.
Serve as resource expert to events staff to ensure successful execution of programs. Collaborate with Institutional Advancement to align public programs with the college’s development objectives and maximize revenue through rentals. Review and execute marketing materials and rental requests in coordination with the Office of Central Reservations.
QUALIFICATIONS
Bachelor's Degree and six years' relevant experience required.

Salary commensurate with education and experience, within approved range: $104,057 - $110,641
