    NORWALK COMMUNITY SCHOOLSTITLE: Counseling Office Secretary - Norwalk High School REPORTS TO: High School Principal JOB GOAL: To support the efficient and effective operation of the Student Advocates' office by creating a positive environment for students, parents and staff, and to manage the office in a manner that maximizes the educational program. Professional Preparation, Experience, Skills:

     

    + Community college or business education in administrative assistant services and general office procedures

    + Minimum of 2-5 years’ experience as administrative assistant in a fast-paced office, preferably a public school

    + Demonstrates proficiency in the use of general office technology (Microsoft Word, Excel and PPT) and aptitude to learn advanced technology applications

    + Ability to learn customized software, track data and apply the software in problems solving capacities

    + Advanced clerical and general business office skills

    + Strong organization skills necessary to maintain an efficient and effective Student Advocates' Office

    Interpersonal Skills:

    + Demonstrates positive inter-personal skills in working with students and serving the public

    + Positive attitude to create a productive, team-based work environment

    + Ability to relate and communicate successfully with parents, staff members and the public

    + Ability to maintain confidentiality in and out of the work place

    + Ability to accept responsibilities and perform duties in a confident and dependable manner

    + Ability to meet deadlines and work in a fast paces environment

    + Ability to work independently and establish a daily work schedule of tasks to accomplish throughout the day

    + Ability to pre-organize activities and functions

    Job Duties & Performance Responsibilities:

    + Maintains the Curriculum Guide, updates changes made by staff

    + Monitors security cameras

    + Facilitates graduation (creates program, monitors class rank, monitors student plans after high school)

    + Facilitates Senior Honor Night (creates program, attends event)

    + Coordinates and prepares for Academic Honors Night

    + Coordinates and is the main contact person for all local scholarships

    + Assists with the creation of the master schedule and does basic scheduling of students

    + Creates new student folders and assists with mentor program

    + Assists staff with setting up gradebooks (in Infinite Campus)

    + Troubleshoots gradebook issues and support for staff at all levels (in Infinite Campus)

    + Ensures all grades are posted correctly and in a timely manner

    + Assists in setting up the portfolio dates for students in the gradebook (in Infinite Campus)

    + Sets up rosters for teachers

    + Maintains student cumulative folders and prepares the folders when a student transfers

    + Works as a buffer for students when they are sent to the office for behavior issues

    + At times must monitor students serving in-school suspension

    + Arranges/sets up all college and post-secondary meetings at the high school

    + Assists with Homecoming Week (luncheon, dance information, voting of king and queen)

    + Serves as the collection point for staff and student surveys

    + Responsible for monitoring Audit or Pass/Fail classes in Infinite Campus

    + Assists with Career Day

    + Serves as primary DMACC contact in regards to scheduling, attendance, and passwords for students

    + Assists with overseeing student graduation portfolios

    + Assists students with passwords relative to I Have A Plan Iowa (state-required activity)

    + Proofreads all correspondance from Student Advocates' Office

    + Speaks with parents as needed

    + Sends transcripts to colleges and handles all transcipt requests

    + Runs reports as requested from a variety of sources

    + Assists other buildlings with Infinite Campus, especially with ad-hoc reporting and data collection

    + Assists with various state and federal reporting requirements (BEDS, CRDC)

    + Helps teaching staff facilitate Iowa Assessments

    + Collects and records funds for Advance Placement Testing

    + Distributes and collects books used in PSEO (college) courses

    + Creates and updates SCED coding and supplemental weighting for all PSEO courses

    Physical Demands:

    + Requires lifting, carrying, pushing up to 10-40 pounds on occasion

    + Requires some stooping and kneeling

    + Must be able to sit upright in a desk task chair for 7 to 8 hours per day

    + Must be able to perform data entry at a computer workstation for 7 to 8 hours per day

    + Must be able to meet a pre-employment physical

    Work Environment

    + Business office atmosphere with a moderately low noise level

    + Tobacco and alcohol free environment

    Terms of Employment:

    + At-Will, Hourly Confidential Employee

    + 10 month position (220 days per year, 8 hours per day)

    + Employment per Board Policies and Administrative Rules and Regulations

    Evaluation:

    + Performance evaluated annually by the Lead Student Advocate and the High School Principal
