New England Cancer Specialists (NECS) is currently seeking a full time 40 hr Supportive ServicesPatient Care Coordinator (PCC), in our Westbrook office. The Patient Care Coordinator for Supportive Services plays a vital role in enhancing patient experience by expertly scheduling and coordinating appointments and referrals across various supportive service lines. This position is tasked with processing and organizing all incoming referrals for essential services such as Nutrition, Behavioral Health and PETCT Imaging services and providing backup support to other team members located on the 3rd floor of Rock Row. The coordinator is proactive in managing and resolving appointment conflicts, ensuring that patients receive timely access to care. In addition to scheduling, the coordinator diligently completes all non-clinical orders within the patient chart, adhering to established timeframes to promote efficient workflow. Proficiency in handling a multi-line phone system is crucial; the coordinator triages calls with skill, addressing inquiries, resolving issues, and meticulously documenting all interactions. Upholding patient confidentiality and consistently meeting deadlines are paramount responsibilities for this role. The coordinator is expected to demonstrate exceptional customer service skills and a strong ability to collaborate with team members, contributing to a supportive and cohesive work environment.

The new Rock Row Campus represents a unique collaboration between New England Cancer Specialists (NECS) and our patients, thoughtfully designed to create a comfortable and inviting home for excellent oncology care in New England. This state-of-the-art facility brings together a comprehensive range of services under one roof, including surgery, medical oncology, radiation oncology, genetic counseling, survivorship programs, nutrition support, and behavioral health counseling. Every detail of the campus reflects a commitment to patient-centered care, ensuring that individuals and their families feel supported throughout their cancer journey in a warm and welcoming environment.
Required Experience:
ESSENTIAL FUNCTIONS
+ Schedules internal referrals and follow-up visits for Nutrition and Behavioral Health
+ Schedules appointments for patients either by phone when they call in or in person after an office visit, following all scheduling guidelines. Works within electronic medical record ensuring all appointments are scheduled to match physician/clinician availability with patient’s preferences in terms of date and time. Follows all urgent/emergency protocols.
+ Optimizes the schedule of the Licensed Clinical Social Worker (LCSW) and Registered Dietitian (RD) daily to ensure schedules are full for the next day.
+ Communicates consistently and frequently with provider lead team(s) about any changes to or affecting patient care plan to ensure the best possible care for every patient.
REQUIREMENTS
+ High school diploma or GED required. Certificate of completion from an accredited program for Medical Assistant or Medical Secretary Certification preferred.
+ Minimum one year prior clerical and/or Medical Secretary experience in a health care field, oncology experience preferred.
KNOWLEDGE, SKILLS AND ABILITIES
+ Knowledge and application of medical terminology required. Previous experience with electronic medical record systems required.
+ Exceptional customer service experience required.
