    Job Description

    BAE Systems is looking for an Administrative Assistant to support the manufacturing team by providing professional, customer-focused support to its directors and staff. This manufacturing team supports mulitple business areas within BAE Systems both in Austin and across the United States. On this team, you'll have the opportunity to work with individuals that build and test a wide variety of products used by all branches of the military.

     

    In this role you will perform diversified administrative duties for the organization and the Manufacturing Director along with the Austin manufacturing site personnel. This role requires a high degree of problem solving, tact, initiative and judgment, as well as a thorough understanding of business practices and procedures. Ability to coordinate and handle a wide variety of priorities and schedules while confidentially handling personnel data is required.

     

    This position reports to the Manufacturing Director.

    Responsibilities include but are not limited to:

    + Support the Manufacturing Director, and help coordinate and manage schedules and travel in coordination with Leadership s and our team s schedules

    + Meeting planning and coordination of in person and Telepresence based meeting tools

    + Expense/travel management and reimbursement processing

    + Monitor and replenish supply inventories

    + Coordinate office set-up, asset assignment, and other new hire logistics

    + Collaborate with IT and Security management to track status of our group's help desk tickets, and ensure timely resolution including tracking and ordering of the group s laptop, desktop, and software needs

    + Conference Room scheduling

    + Communicate key dates and information regarding Site Executive initiatives and activities

    + Coordinate catering and supplies for internal and customer meetings

    + Program Management and Special Project support

    + Support and coordinate with the R3 administrative team as needed

    + Support other activities as necessary

    Required Education, Experience, & Skills

    + Proactive team player with strong organizational skills and the ability to handle multiple priorities

    + Experience working effectively across organizations and geographic sites

    + Solid communication and interpersonal skills, and an ability to build effective working relationships across organizational boundaries

    + Proven ability to work independently and with limited direction

    + Ability to create and contribute to a positive work environment and employee morale, following BAE s Cultural Principles

    + MS Office Skills: Word, PowerPoint, Excel, OneNote, SharePoint, Teams, etc.

    + Must be eligible to obtain a DoD Secret clearance

    Preferred Education, Experience, & Skills

    + Prior experience working at an executive level is highly preferred

    + Ability to work independently and seek areas for continuous improvement

    + Support for employee engagement

    + Experience with supporting teams in a variety of functions and assignments

    + Experience working in a fast paced, team environment

     

    Pay Information

     

    Full-Time Salary Range: $54220 - $86752

     

    Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
