    Position Summary:

    This role is essential in overseeing a streamlined, patient-centered intake process while driving quality improvement initiatives. The Clinical Intake & Quality Improvement Project Manager will work closely with the ARCH, prevention and screening, and clinical teams to ensure efficient patient eligibility verification, insurance enrollment, and access to care services. Additionally, this position will lead and support Continuous Quality Management (CQM) initiatives, leveraging data-driven strategies to enhance patient care, engagement, and health outcomes.

     

    Essential Duties & Responsibilities

     

    + Oversee and optimize the clinical intake process, ensuring a seamless, patient-centered experience by coordinating with ARCH, prevention and screening, and clinical teams to assess eligibility, facilitate insurance enrollment, and streamline service access.

    + Execute Continuous Quality Management (CQM) initiatives, working closely with department leadership in designing and implementing performance improvement projects (PIPs) that enhance patient care, treatment engagement, and health outcomes.

    + Ensure compliance with Ryan White Program eligibility requirements by managing the collection of income, residence, and HIV status documentation, obtaining consent forms, and overseeing the verification process for newly diagnosed, transferred, and returning patients

    + Serve as a key liaison for new patients, working alongside the Linkage & Retention Coordinator to facilitate smooth transitions into care and enhance patient engagement.

    + Manage insurance enrollment and verification efforts in collaboration with Patient Services and Medical Case Management (MCM) teams, supporting patients in securing appropriate healthcare coverage.

    + Conduct and enhance the annual eligibility review process for Ryan White patients, ensuring timely compliance with program standards and contractual obligations.

    + Drive consumer engagement efforts, overseeing initiatives such as the Annual Patient Satisfaction Survey and Consumer Advisory Board activities to integrate patient perspectives into quality improvement strategies.

    + Guide the development of consumer-led performance improvement plans, working closely with the Consumer Advisory Board to establish actionable goals and measurable outcomes.

    + Analyze, prepare, and present CQM data to internal teams, funders, leadership, and consumer groups, translating insights into actionable recommendations for quality enhancement.

    + Support grant writing and funding proposals, providing key data and insights to strengthen responses to Requests for Proposals (RFPs) and secure funding for program sustainability.

    + Ensure adherence to Ryan White Program and Massachusetts Department of Public Health (MA DPH) regulations, implementing processes that align with best practices, contractual standards, and healthcare quality benchmarks.

    + Collaborate with senior leadership and clinical teams to enhance patient retention strategies, drive viral load suppression efforts, and improve long-term health outcomes.

    + Stay current on industry best practices and regulatory updates, participating in departmental meetings, professional trainings, and cross-sector collaborations to inform and refine quality improvement strategies.

    + Represent the organization in internal and external meetings, advocating for patient-centered quality initiatives and fostering partnerships with key stakeholders.

    + Lead special projects and process enhancements, taking on additional responsibilities that support the organization’s mission and commitment to high-quality HIV care and prevention.

    Education:

    + Bachelor’s degree in public health, Social Work, Healthcare Administration, or a related field required. A Master’s degree in a related field preferred

    Experience:

    + Experience in patient intake, case management, clinical coordination, or healthcare quality improvement, preferably in an HIV/AIDS, public health, or federally funded healthcare setting.

    + Knowledge of Ryan White Program requirements, insurance enrollment processes, and healthcare compliance standards.

    + Demonstrated experience leading or supporting quality improvement initiatives (e.g., Performance Improvement Projects, data-driven interventions, patient-centered outcomes initiatives).

    Skills/Abilities:

    + Ability to collect, analyze, and present healthcare quality data to diverse stakeholders, including funders, leadership teams, and community groups.

    + Strong organizational, data management, and analytical skills, including experience with performance monitoring, report generation, and data visualization tools.

    + Excellent written and verbal communication skills, with experience in stakeholder engagement, grant writing, or program reporting.

    + Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and electronic health record (EHR) systems. Experience with, or a willingness to learn, data analytics tools such as Tableau, Power BI, SAS, or R is an asset.

    + Bilingual (Spanish/English) preferred but not required.

    Pay Range:

    $59,800 up to $89,440 annually based on experience
