    The Department of Surgery is seeking an **_Administrative Specialist_** that will support the Cardiac Leadership/Executive Director our Cardiac division by providing complex administrative and project support to ensure the smooth and efficient operation of the division. The ideal candidate will assist in creation of solutions to assist in streamlining procedures and processes to move the division forward. A successful candidate will be pivotal in assisting the faculty and members of the division in accomplishing the goals, strategies, and initiatives of the division.

    Specific Duties & Responsibilities

    + Manage and complete extensive planning to ensure positive outcome on all project work. Projects include, but are not limited to,

    + Recruitment activities for the department

    + Team building events for administrative team.

    + Strategic Planning events for the division.

    + Faculty development activities and meetings.

    + Grand Rounds scheduling and planning.

    + Divisional functions.

    + Prepare for important meetings, presentations, and discussions by gathering critical information on issues.

    + Prepare necessary reports and briefings as necessary.

    + Interpret and analyze information regarding current operating policies and procedures. Recommend new processes/procedures on operation workflows

    + Shift priorities as necessary from one project to another. Manage multiple projects within a short period of time

    + Prepare special reports needed.

    + Manage communications from chair and administrators including preparing first drafts of announcements, letters, and memos.

    + Interface with key leadership across the university.

    + Maintain confidentially since dealing regularly with highly sensitive and privileged information.

    + Prepares agendas, itineraries, coordinate meetings (working with A/V, booking rooms, booking travel)

    + Anticipate and problem-solve issue and concerns that will impact the chair and department.

    + Responsible for answering questions, providing guidance, and disseminating information as directed by chair or administrators.

    + Exercises independent judgement in the resolution of administrative problems.

    Minimum Qualifications

    + Bachelor's Degree.

    + Five years in providing high level expertise.

    + Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.

     

    Classified Title: Administrative Specialist

    Role/Level/Range: ATP/03/PC

    Starting Salary Range: $62,900 - $110,100 Annually (Commensurate w/exp.) (Budget $68k)

     

    Employee group: Full Time

     

    Schedule: M-F varies ; 4-5 days in person SOM campus

     

    FLSA Status: Exempt

    The listed salary range represents the minimum and maximum Johns Hopkins University offers for this position, based on a good faith estimate at the time of posting. Actual compensation will vary depending on factors such as location, skills, experience, market conditions, education, and internal equity. Not all candidates will qualify for the highest salary in the range.
