    Job Summary and Qualifications

     

    TheTelecommunication Specialistpositionstaffstwo areas of the hospital.

     

    TheMain LobbyInformation Deskwhere patients, visitors,vendorsand guests are greeted. Our role is todeterminetheirneeds, anddirectthem appropriately. The main lobby should present a friendly and helpful atmosphere, whilemaintainingsituational awareness to keephospitallobby running smoothly.

     

    TheTelecommunication Officewhere weactupon all emergency requests,answer, assess, and routeall calls to proper destinations. The switchboard works closely with the Security and Facility Departments responding to security alarms, fire alarms, and attack alarms.

     

    Both work areasrequirea vast knowledge of the hospital, staff, physicians, practices, and thenumeroustests and procedures we offer.The departmentmaintainsthe missionof Catholic Medical Center tocarry out Christ’s healing ministry by offering health, healing and hope to every individual who seeks our care.

    PRINCIPLE DUTIES AND RESPONSIBILITIES:

    Under the general direction of the Executive Director of Support Services and thedirectoversightof theManagerof Attendant Services, within establishedCatholicMedical Center and departmental policies and procedures, theTelecommunication Specialistperforms the following functions:

    MAIN LOBBYINFORMATION DESK:

    + Greets, directs, andassistsvisitors and patients from the Information Desk.

    + Maintains positiveworkingrelationshipswithemployees, physicians,vendorsand thegeneral public.

    + Operates Spok Console Suite, a PC based software,toassistthe patients andvisitors with needed information and directions to rooms, tests/procedures, and offices.

    + Actsasan informational resourceregardingall departmentsand services for Catholic Medical Center and affiliatedmedical programs.

    + Works with the Admissions Office to check patients in anddirectthem to the correctDepartment.

    + Works with Security staff assigned to the Main Lobby.

    + Works withourcontracted Valet Service providing information andkey retrieval.

    + Works with Patient Transport Services to assure patients have wheelchair access andassistance.

    + Maintains the lobby area, promoting a clutter free and clean environment.Assuresappropriate PPEis availablefor the general public.

    + Contacts Environmental Servicesand Facilities departmentfor issues with the restrooms,the lobby, and the front entrance of the hospital.

    + Ensures the confidentiality of all employees, physicians,patientsand medical center matters.

    + Properly disposes of all PHI at the end of each shift.

    + Participates in assigned role in disaster drills, and other emergency situations.

    + In addition to followingall Department Guidelines, the Positionrequiresfollowingspecific guidelinesrelated to the Daily Shift Duties for the Information Desk.

    + Performsotherduties or assignments as directed by the Manager of their designee.

    TELECOMMUNICATION OFFICE:

    + OperatesSpok Console Suite, a PC based software.

    + Promptly answers all incomingsecurity, medical and facility emergency calls.

    + Answers all incoming calls from thegeneral public, patients,physicians, and staff.

    + Providesthe requested information or service by routing the call to theappropriate locationas directed by department guidelines.

    + Utilizes the public address system foremergency notifications androutineannouncements.

    + Assistsstaff, physicians, andpatients in placing outgoing calls.

    + Maintainsawareness ofchanges tooff shift and on call staff,physicians, and other caregivers.

    + Maintains TelecommunicationOffice, ensuring that the workspace is clean, empties waste basket, and cleans amenities if soiled during use.

    + Properly disposes ofall PHI at the end of each shift.

    + Ensures the confidentiality of all employees, physicians,patientsand medical center matters.

    + Keeps currentof all Inter-department communications through department, and hospital-wide email, Shift Reports,Operator Notes inSpok Console Suite,memos, hospital publications, andverbalreport between shiftsfrom colleagues.

    + Participates in assigned role in disaster drills, and other emergency situations.

    + In addition to followingall Department Guidelines, the position requires the following of specific guidelines related to the Daily Shift Duties of the Switchboard.

    + Monitors andtakes actionwithsecurity and facility alarms including:

    + Signet/Rauland codeblueannunciator panel

    + Zettler code blue annunciatorpanel

    + Simplex fire remote annunciatorpanel

    + Emergency elevator phones

    + Beacon Medical Products facility gas alarms

    + Pelmacsecurity and facility alarms

    + Pinpoint/Help Alertactivations

    + AiPhonenotifications

    + Call24 remote emergency call boxes

    + Performs other duties or assignments as directed by the Manager of their designee.

    What qualifications you will need:

    QUALIFICATIONS:

    + High schooldiplomarequired.

    + Hospital communications /Call Center experience preferred.

    + Healthcare experience preferred.

    + Experience in business or health care setting involving customer-service responsibilities; broad knowledge base of functions of various health care departments preferred.

    + Basic operation of computer systems,telephone systems,Windows OS, and MS Office.
