Description POSITION SUMMARY The Leave of Absence (LOA) Analyst serves as a key liaison between employees, management, and key stakeholders. This role provides comprehensive support for all aspects of leave administration, ensuring compliance with federal, state, and local regulations. The LOA Analyst is responsible for managing leave cases from start to finish, providing guidance to employees, and maintaining accurate records for reporting and compliance purposes. This position reports to the HR Associate Director, Leave & Disability.
CORE JOB FUNCTIONS This job description outlines the primary responsibilities of the role. Additional tasks may be assigned as needed. Serve as the subject matter expert for the leave of absence process, working under the guidance of HR leadership. Administer, track, and determine eligibility for all types of leave, including but not limited to: Family and Medical Leave Act (FMLA) California Family Rights Act (CFRA) Pregnancy Disability Leave (PDL) Americans with Disabilities Act (ADA) reasonable accommodation Provide exceptional customer service by addressing employee concerns promptly, resolving conflicts, and managing escalated cases with sound judgment. Educate employees and managers on leave policies, verifying eligibility and assisting with the leave application process. Maintain accurate and compliant records for all leave requests, ensuring adherence to federal, state, and company policies. Independently review, approve, or deny leave requests based on medical documentation while maintaining compliance with HIPAA and privacy guidelines. Monitor leave durations to ensure timely submission of required documents, escalating cases when entitlements are exceeded or deadlines are missed. Update employee statuses in the HRIS system for leaves and returns, ensuring smooth transitions by notifying relevant departments. Review and assess leave policies and procedures, identifying areas for improvement and implementing process enhancements. Ensure full compliance with federal and state leave programs, including FMLA, ADA, PDL, Military Leave, and company policies. Manage time-off benefits in the HRIS system, ensuring accurate tracking and alignment with company policies. Generate HR reports and analytics to monitor leave trends, address absenteeism, and identify opportunities for program improvements. Stay current on regulatory changes, updating internal policies, procedures, and communication materials as necessary. Demonstrate a commitment to diversity, equity, and inclusion through service delivery, modeling inclusive behaviors, and ensuring fair application of leave policies. Perform other duties as assigned. Time Management: Effectively manages multiple tasks and projects, prioritizing workload and meeting deadlines in a fast-paced environment. •ADDITIONAL QUALIFICATIONS Strong knowledge of federal and state leave regulations, including FMLA, ADA/FEHA (including the interactive process), and HIPAA. General understanding of employee benefits related to leaves of absence, such as short/long-term disability, COBRA, and state disability pay. Excellent organizational and time-management skills, with the ability to manage multiple priorities efficiently. Strong interpersonal and communication skills, with the ability to provide empathetic and detail oriented support to employees. Ability to work both independently and collaboratively in a team-oriented environment. Proficiency in Microsoft Office programs, including Excel, Word, PowerPoint, and Outlook. TalentMatch®
