Responsibilities:
GENERAL PURPOSE:
Serves as the Administrator for the Pediatric Divisions of Critical Care, Hospital Medicine and Pulmonology under guidance of the Division Administrator and Program Directors. Primary roles are to oversee administrative and research staff and oversee administrative activities for the Division. With minimal direction and latitude for independent judgement, the Administrator provides administrative oversight for these divisions, provides office supervision, and coordinates activities.
The individual in this position must be adept at prioritizing tasks and projects, must be able to work with limited supervision, and must be able to exercise independent judgment. The individual must understand and communicate University policies and procedures, analyze situations, and make judgments to facilitate desired outcomes. The individual must have a demonstrated high level of professionalism (i.e. maintaining confidentiality of Division matters) and communication abilities.
ESSENTIAL FUNCTIONS
+ The role involves managing the ordering of equipment and supplies to support daily operations. Additionally, responsibilities include addressing space needs by coordinating room assignments and ensuring that facilities meet the requirements of staff and projects. This position plays a key role in ensuring that necessary resources are readily available and that workspace requirements are efficiently handled.
+ Processing employee expense reports, ensuring accuracy and compliance with company policies. Responsibilities include reviewing receipts, verifying expenditures, and coordinating with employees to resolve any discrepancies. This position plays a key part in maintaining financial records and ensuring timely reimbursement for employees.
+ Managing timekeeping for some staff within divisions, ensuring accurate tracking of work hours, overtime, and leave requests. Responsibilities include reviewing timesheets, resolving discrepancies, and ensuring compliance with company policies and labor regulations.
+ Liaison and coordinator to HR business partner for resolution of personnel issues. Collaborate with all faculty and staff to build a positive culture for learning. Monitor quality improvement initiatives, providing continuous feedback to faculty and staff.
+ Answers correspondence and other inquiries involving the interpretation of university as well as departmental policy, regulations, procedures, and guides faculty and staff on replies to routine correspondence.
+ To incorporate best practices, maintains expert knowledge of various systems (eRecord, Workday, Tableau, etc.) by attending meetings/training and acting as the subject matter expert (SME) for the Division.
+ Tracks and analyzes data for divisions; makes recommendations and implements processes to improve these rates.
+ Supports ongoing implementation of new service lines, construction projects, and other new initiatives. Handles organizing, coordinating, and supporting various aspects of a project to ensure its smooth execution. This includes managing schedules, tracking project progress, maintaining documentation, handling communication between team members and stakeholders, and ensuring that resources are allocated effectively.
+ Assures I CARE values are demonstrated by all staff at all times. Acts as an excellent representative of the unit at departmental, service and institutional meetings. Serves as point person for the management of patient complaints and in this role, serves as a front-line problem solver. Answers correspondence and other inquiries involving the interpretation of University as well as departmental policy, regulations, procedures, etc.; guides subordinates on replies to routine correspondence. Acts as a liaison with physicians, staff and with other community health, social and government agencies. Plans and establishes meetings, conference symposia etc., and coordinates the arrangements and preparation of program literature, brochures and other materials.

QUALIFICATIONS
Required:
+ Bachelor’s degree.
+ 1 year of experience in a business operation or administrative role or equivalent combination of education and experience.
+ Communication and organizational skills.
+ High level of proficiency in MS Office programs.
