Description
We are offering an exciting opportunity in West Palm Beach, Florida for the role of Office Administrator. The role involves a wide range of administrative tasks to support the operations of our team, specifically around processing customer information, coordinating with field staff, and maintaining office organization.
Responsibilities:
• Professionally manage incoming phone calls and emails
• Collect and record detailed customer information for service requests and quotes
• Coordinate the scheduling and dispatch of electricians to various job sites
• Generate and manage service work orders
• Conduct accurate data entry tasks and support bookkeeping operations
• Handle time and material invoices through QuickBooks
• Assist in the preparation and submission of permit applications, including scheduling inspections
• Manage office supplies inventory
• Process customer credit card payments and assist in posting customer payments
• Support the management team with general administrative tasks
• Maintain an organized and efficient office environment
• Assist with job costing and budget tracking for time and material jobs
• Coordinate payroll by processing timecards and entering information into QuickBooks
• Assist with processing contractor registrations for State and Local municipalities.
Requirements • Minimum of 2 years experience in an Office Administrator role or similar within the Hospitality industry
• Proficiency in Data Entry tasks
• Experience with Invoice Processing
• Demonstrated proficiency in Microsoft Excel
• Familiarity with QuickBooks software
• Ability to manage and answer inbound calls effectively
• Prior experience with AIA Billing procedures
• Knowledge of Job Cost calculations and applications
