Description
Robert Half is seeking a highly organized and detail-oriented Marketing Project Coordinator to support a well-known global entertainment and consumer brand. This role will focus primarily on the documentation and contract management aspects of promotional events and campaigns with their external brand partners. The ideal candidate will have strong project management skills, exceptional attention to detail, and a proven ability to handle the administrative components of large-scale marketing promotions. Proficiency in Smartsheets for tracking project workflows and contracts is essential, and bilingual abilities in English and Spanish are highly preferred.
Duration: 8 months
Hours: 40 hours/week
Pay Rate: $25-27/hour
Key Responsibilities:
+ Manage and oversee the documentation and contract administration for promotional events and campaigns with external brand partners.
+ Use Smartsheets to track contract execution, monitor timelines, and ensure timely completion of all necessary documentation.
+ Work closely with legal, finance, and cross-functional teams to prepare, review, and process promotional contracts and agreements.
+ Ensure all contracts are completed, signed, and filed according to established timelines and standards.
+ Identify and address any gaps or delays in the contract process to ensure smooth execution of promotional initiatives.
+ Maintain organized records of all contracts, amendments, and communications related to brand partnerships and promotions.
+ Collaborate with various internal teams to ensure that all contract terms are met and executed properly.
+ Provide regular updates on contract status, ensuring timely communication with stakeholders and external partners.
+ Ensure that all promotional materials (social media guides, event documentation, etc.) align with contract requirements and are completed accurately and on time.
+ Support event logistics and coordination as needed, ensuring all back-end tasks related to contracts and documentation are handled efficiently.
Requirements
Required Skills:
+ Strong project management skills, with experience in tracking and managing contracts and documentation.
+ High level of attention to detail and organizational ability, with a focus on ensuring contracts are completed accurately and on time.
+ Excellent communication skills, with the ability to collaborate across teams and manage external brand partnerships.
+ Bilingual in English and Spanish, with strong verbal and written communication abilities in both languages.
+ Proficiency in Smartsheets or similar project management tools to track workflows and contract progress.
+ Proven ability to identify and address gaps or delays in the contract and documentation processes.
+ Ability to manage multiple projects simultaneously and maintain organized records.
Preferred Qualifications:
+ 3–5 years of experience in contract management, project management, or administrative roles within promotional marketing or partnerships.
+ Experience working with legal teams and external partners on contract preparation, review, and execution.
+ High level of proficiency in Smartsheets or similar project management tools.
+ Previous experience in a bilingual work environment or managing bilingual teams is highly desirable.
+ Experience in the entertainment or consumer products industry is a plus.
