Job Description:
40% Financial Management and Support
+ Manage program financial operations including bill pay, receipt processing, wire transfers
+ Assist Director in creating and reviewing program budgets
+ Track actual vs. budgeted spending for all programs
+ Liaise with the Shared Service Center to ensure accurate and timely processing of financial transactions
+ Monitor OAC to ensure payments and deposits are processed correctly
+ Solicit quotes for program activities as needed
+ Monitor credit card payments and ensure timely processing of receipts
+ Create program invoices for non-grant funded programs
+ Liaise with Grant Coordinator for grant-funded programs to ensure accurate and timely processing of budget items
35% Business Management
+ Manage ISP program phone plans
+ Manage ISP KTag accounts
+ Manage front desk and other office operations including reception and classroom spaces
+ Manage ISP inventory and order supplies as needed
+ Liaise with KU Housing to acquire participant placement for relevant short-term programs
+ Seek quotes and make reservations with local hotels and other Lawrence accommodations as needed to ensure best possible pricing for program participants
15% Program Support
+ Schedule rooms for all on campus program activities
+ Reserve transportation for all program activities
+ Schedule and make reservations for orientation activities, field trips and other program activities
+ Order food and catering services for program events as needed
+ Arrange host dinners for programs as needed
+ Attend ISP events and chaperone activities on an as needed basis (limited)
5% Emergency Management
+ Create and update ISP’s emergency management plan
+ Ensure regular review and training on ISP’s emergency management for all employees including student workers
+ Liaise with Watkins health center to schedule check-in activities as needed and to ensure ISP is aware of all current regulations and procedures
+ In conjunction with the Director and Education Program Manager, assist program participants with navigating the Watkins Health Center and the U.S. healthcare system as needed
5% Other duties
+ Attend and participate in all ISP staff meetings.
+ Provide program proposal and final report assistance to the ISP Director, as needed
+ Other duties as assigned

Required Qualifications:
1. Bachelor's degree plus one year related experience OR Associate’s degree and 3 years of related experience OR HS diploma and 4 years of related experience
2. 3 years experience in Microsoft Office and related computer programs
3. Experience in managing various logistical aspects of an office such as scheduling, procurement, and bill processing
4. Experience creating budgets for offices or programs
5. Work experience that required excellent communication and interpersonal skills as evidenced by application materials

Position Overview:
International Short Programs (ISP) typically runs 6-12 short-stay programs annually for international students and professionals. Programs usually include an academic component but almost always have a strong emphasis on extracurricular and experiential learning. Programs range from 2 weeks to 9-months in duration and do not usually follow the typical academic calendar. The Business Coordinator is responsible for managing various aspects of program business operations including financial management and support, scheduling, bill/invoice processing, and emergency management. This position may also provide program support when short-term programs are in session.
