Meeting Planner
Work Schedule: 40 hours per week, with flexibility for early or late hours based on customer needs
Contract Length: 9 months, with potential for contract-to-hire
Are you highly organized, customer-focused, and experienced in event planning? We’re seeking a Meeting Planner to manage and execute impactful customer engagements at an innovative environment. In this role, you’ll bring your exceptional coordination and collaboration skills to succeed in a fast-paced, dynamic environment.
Key Responsibilities:
+ Collaborate with internal stakeholders to create engaging agendas and customer experiences focused on products, solutions, and services.
+ Plan and coordinate onsite or virtual customer visits, ensuring all logistical needs—including agenda preparation, audiovisual equipment, and streaming platforms—are met.
+ Manage travel arrangements, including lodging, transportation, and meals for all customer visits.
+ Oversee customer meetings and troubleshoot any technical issues involving medical equipment, audiovisual communication tools, or streaming platforms.
+ Ensure compliance with policies and regulations, including Sunshine Act reporting, documentation, and expense management via Salesforce.com.
+ Maintain and coordinate repairs for medical and audiovisual equipment in the Customer Experience Center.
+ Order and manage supplies needed for conference rooms, customer care settings, and catering for customer visits.
Requirements
Qualifications and Experience:
Required:
+ Bachelor’s degree
+ 1-2 years of recent experience in event planning, travel logistics, or tradeshow coordination
+ Strong organizational skills and attention to detail
+ Exceptional customer service orientation and interpersonal skills
+ Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), Teams, Zoom, and Salesforce
+ Presentation skills and the ability to coordinate practice sessions for virtual meetings
+ Collaboration and teamwork capability
Preferred:
+ Adaptability to changes and flexibility in a fast-paced environment
+ Interest or background in the medical device industry or technology
+ Basic knowledge of audiovisual and video conference equipment troubleshooting
