General Summary Statement
Under the direction of the Nursing Business Manager , the Data Scheduling Tech is responsible for the day-to-day clerical duties associated with activities within the operating room suite. The clerk serves as a communication link between the OR and the surgeon and business offices through the scheduling of surgical procedures, documentation of patient charges, and inputting data collected during the surgical procedure.
Essential Duties and Responsibilities
Scheduling
+ Demonstrates proficiency in the use of the ORSOS computer software program for scheduling of surgical cases. Data input is accurate and inclusive of all elements required for proper allocation of surgical services.
+ Adheres to established scheduling protocols and attempts to meet the customer’s desired outcomes as far as allocation of time.
+ Seeks input from management team when faced with difficulty in meeting client needs. Reviews, revises and seeks final clearance to produce the next day’s Surgical Schedule. Assembles, prints and distributes the daily surgical schedule to all the required departments meeting the established 2:00 PM standard.
+ Meets minimum standard of providing OR management team with 5 days advanced surgical schedules and keeps current with updated copies on a daily basis.
+ Utilizes skills, experience and knowledge of OR resources to effectively schedule surgical procedures and keeps current with updated copies on a daily basis.
+ Notifies all support departments (i.e., X-Ray, Pathology, etc.) of their required support services for the next day’s schedule, providing as much notification as possible. Communicates the need for service provided by outside vendors such as Circulatory Support Company, Pacemaker reps.
+ Addresses a surgeon’s request for new products or specialized equipment or supplies needed for a specific surgical procedure by informing the Inventory Control Clerk or a management team member at the time the request is made known to the scheduling person.
+ Uses ORSOS to print the needed Surgeon Preference Cards for the next day’s scheduled surgical cases.
+ Maintains and protects the patient’s confidentiality in accordance with Health Insurance Portability and Accountability Act (HIPAA) regulations.
+ Exemplifies customer service by answering phones and interacting with patients, staff, clinicians and visitors in a timely and pleasant manner
+ Accepts changes in assignment in the spirit of good teamwork; accepts constructive feedback about performance or behaviors; demonstrates creative thinking and problem solving relating to issues or concerns.
Data Entry Patient Charges
+ Uses the OR Surgeon Preference Card and the Anesthesia Charge sheets to charge the patient for products and time used during the surgical procedure. Cross references the OR and Anesthesia charges to ensure accurate documentation of services provided.
+ Inputs data from the Operating Room Record into the ORSOS system and ensures accuracy of data and correlation of record. Communicates deficiencies to appropriate nursing personnel to obtain missing elements.
+ Maintains the OR Log on a monthly basis.
+ Maintains the printout of patient charges for required time.
+ Ensures regulatory compliance with Safe Medical Device Laws and Implantables documentation and reporting.
+ Obtains required product data and initiates actions to ensure product information and a patient charge number are maintained on the ORSOS system.
+ Works closely with the Inventory Control Clerk to obtain product costs for items not currently on the ORSOS or SMS charging systems and utilizes mark up charge procedure to input patient charge on a timely basis.
Education Training and Experience
• Prior experience in a healthcare environment; scheduling, cash collections, insurance knowledge; or related experience preferred
• Proficient in the use of personal computers with a basic knowledge of computer software, e.g. Word and Excel
• Excellent oral and written communication skills
• Highly organized, with efficient work habits in a multi-tasked environment
• Ability to interact with a variety of individuals in a calm, professional manner at all times
• High School graduate
