Job Summary and Qualifications
Serves as the liaison between staff and the Practice Manager to assure smooth day-to-day operations and to provide on-site and remote supervision responding to the needs of patients and staff.
Coordinate and maintain physician and physician assistant calendar via EMR computer system. Schedule patients according to need and make all related arrangements. Schedule all testing for patients to be done at hospital or other facility. Track testing for physician review.
Under the direction of the Practice Manager and within established policies and procedures, the Scheduler the following functions:
1. Schedules with appropriate hospital departments. Completes and faxes appropriate paperwork to hospital.
1. Complete paperwork via EMR computer system and clinical health questionnaires with insurance providers as needed for pre-certification/authorization of services.
1. Contact insurance plans/carriers or third party representative via telephone or on-line portal to obtain authorizations and pre-certifications as necessary.
1. Obtain proper clinical documentation and fax documentation for insurance plans/carriers and third party representative for clinical review on all pending prior authorization/pre-certification requests.
1. Reviews accuracy and completeness of information requested and ensures that all supporting documents are present for insurance plans/carriers and third party representatives.
1. Contacts insurance plans/carriers or third party representatives to close pending cases either by review of clinical documentation provided to them or by having a case needing further clinical review by appropriate level of clinical team.
1. Acts as a liaison between insurance plans/carriers and/or third party representatives and our clinical staff and providers to ensure any requests that have gone “peer-to-peer” obtain proper review by appropriate level of clinical team. Once “pee-to-peer” has been completed and an approval is in place, notifying the appropriate staff of approval notification.
1. Manages correspondence with insurance companies, physicians and patients as required.
1. Handles multiple phone calls/message.
1. Retrieves voice mail messages, makes arrangements for emergent and priority scheduling of appointments, procedures and testing, inputs appointment information into the computer system.
1. Works with admissions department to complete patient transfer to CMC for invasive procedures and admissions.
1. Checks patients out and schedules appropriate follow up visit and ancillary services as appropriate.
1. Manages provider recall and contacts patients to schedule appointments in a timely manner.
1. Fill in at front desk as needed and review incoming referrals, schedule new patient appointments according to urgency. Register new patients, confirm patient demographics and insurance requirements with patient.
1. Coordinate VA patient care with VA staff.
1. Track/manage outgoing referrals and orders requested by the provider.
1. Performs similar or related duties as assigned or requested ensuring professional communication with co-workers, management and patients.
What qualifications you will need:
Education:
+ High School diploma or equivalent.
Experience:
+ Two years of related work experience in a hospital or medical office setting preferred.
