The Inventory Management Specialist ensures the accurate management, tracking, and distribution of raw materials, device components, and off-the-shelf orthotics to support patient care in the Prosthetics and Orthotics (P&O) Division. This position collaborates with the Operations Manager and Supply Chain Specialist & Finance Generalist to ensure the P&O Division remains fiscally sound while maintaining essential equipment and supplies for timely, high-quality patient care. This person works independently and uses various inventory and communication systems at the University of Virginia and within the Health System.
+ Reports to the P&O Operations Manager to manage all P&O inventory room stock.
+ Uses computer-based systems to monitor durable medical equipment (DME) inventory and notify appropriate personnel when stock levels require replenishment.
+ Receives, classifies, and stores incoming supplies with precision, ensuring accurate placement in designated locations for efficient inventory management.
+ Completes bi-weekly reconciliations on DME and custom orders, to ensure that the Certified Orthotist (CO), Certified Prosthetist (CP) or Certified Prosthetist and Orthotist (CPO) or other technical staff have the appropriate components and materials to complete the device for patient use in a timely manner.
+ File electronic documentation for finance office retrieval and maintain proper record-keeping.
+ Conducts weekly reviews and updates par levels to reflect inventory usage patterns.
+ Monitors product recalls and promptly informs technical staff.
+ Assists with the return of items to vendors, ensuring accurate tracking of RMAs, credit memos and shipment details.
+ Manages the daily distribution of components and materials to the hospital and designated locations, ensuring timely and accurate deliveries.
+ Maintains compliance with state and University policies regarding receipt, issuance, maintaining records, and inventory of supplies, materials, and components.
+ Ensures that all divisional, departmental, health system, and JCACO guidelines are met.
+ Identifies and coordinates items to be donated following 501c3 IRS/Nonprofit guidelines and secures UVA approvals before distributing donations.
+ In addition to the above job responsibilities, other supply chain duties may be assigned.
Minimum Requirements:
Education: High School Diploma or equivalent required.
Experience: Two years of relevant inventory management experience. An Associate's or Bachelor's degree may substitute for two years of experience.
Licensure: Valid Commonwealth of Virginia Driver’s License required.
Physical Demands:
• Ability to sit/stand for prolonged periods.
• Frequent walking (1–2 miles per day), climbing (ladders, steps), and overhead reaching.
• Lifting/pushing/pulling 20–50 lbs.
• Possible exposure to electric currents while handling electronic equipment.
