Executive Finance Assistant
Are you an organized, detail-oriented professional with experience supporting senior executives in high-demand environments? Are you proficient in SEC filing platforms, financial document preparation, and scheduling? Our client in downtown Houston is seeking an Executive Finance Assistant to support their Chief Accounting Officer (CAO) and provide vital administrative and financial support to their leadership team on a contract basis.
Key Responsibilities:
+ Assist in the preparation and proofreading of financial statements, reports, and documents required for SEC filings, including Forms 10-K, 10-Q, and 8-K, using WDesk software (Source: US Demand for Skilled Talent Q1 2025).
+ Prepare memorandums, correspondence, presentations, and Board of Director materials using WDesk and Microsoft Office.
+ Manage and coordinate approved materials for Boardvantage.
+ Maintain confidentiality while handling sensitive internal and external communication between executives and stakeholders.
+ Support the CAO with calendar management, meeting coordination, and preparation of agendas and materials.
+ Organize and track vendor invoices, approvals, and documentation.
+ Ensure meeting rooms are equipped for presentations and distribute materials to attendees.
+ Assist with special projects, initiatives, and ad hoc requests to enhance operational efficiency.
Requirements
Qualifications:
+ 3-5 years of experience in an executive assistant role, with experience in preparing SEC filings (WDesk expertise strongly preferred).
+ Exceptional organizational, time management, and communication skills.
+ Advanced proficiency with Microsoft Office Suite, WDesk, and Boardvantage software.
+ Demonstrated ability to work independently in a fast-paced environment while maintaining attention to detail.
Preferred Qualifications:
+ Previous experience supporting senior executives in publicly traded companies.
+ Familiarity with accounting systems and SEC filing platforms.
