Washington Athletics has an outstanding opportunity for a Special Assistant to the Deputy Athletic Directors (payroll title: Administrative Assistant 3).

• Manage workflow for Deputy Athletic Directors and act as the first line of service for all reporting departments. Exercise independent judgment in project management and facilitation, scheduling appointments, speaking engagements, seminars, committees and other internal or external meetings. This includes meetings with Executive and Senior Staff members, University staff, NCAA and Conference staff, coaches, student-athletes, parents, donors, etc.
• Proactively coordinate multiple complex long-term projects across numerous stakeholders and units, and facilitate workflows, timelines and deliverables among area managers and designees.
• Work with Deputy Athletics Directors on special projects related to budgeting, gender equity and others. Develop, monitor, and make purchases as needed to support the Deputy Athletic Directors and the administration of their sports.
• Draft communications to fans, donors, student-athletes, parents of student-athletes, campus administration, faculty, and community members.
• Attend administrative staff meetings, provide input and facilitate materials as necessary. Organize and maintain files and records (sport related, administrative, budget, meeting minutes, communication, personnel, etc.). Maintain compliance with records retention schedules. Respond to public records requests as needed.
Administrative Support:
• Handle highly confidential materials and sensitive matters that require a high degree of discretion and independent decision-making.
• Prepare reports and charts as requested by Deputy Athletic Directors, other senior staff, Faculty Athletic Representative, Big Ten Conference, and others.
• Answer phone, take messages, and provide effective communication support, including the timely dissemination of messages and issues that require urgent attention.
• Work closely with the Directors of Operations for each sport the Deputy Athletic Directors oversee to schedule meetings with coaches, prepare for special events, and coordinate overall scheduling.
• Make all work-related travel arrangements and reconciliation reports for Deputy Athletic Directors. Review requests for administrative and team travel and expenditures from all staff reporting to the Deputy Athletic Directors. Prepare requests for approval. Assist with post-season activities as needed: travel arrangements, paperwork, banquets, correspondence, or helping at the event in a number of different capacities.
• May provide support in monitoring time-keeping records for department staff and act as the Time and Absence Initiate for a chosen group of employees.
• Other administrative duties as assigned.
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
MINIMUM REQUIREMENTS
Requires High School/GED AND three years of office or administrative support experience OR equivalent education/experience.
Additional Requirements:
• Experience in high level office administration with significant responsibility over confidential matters.
• Experience and proficiency with use of MS Office products and calendar software.
• Experience in Division I collegiate athletics and with NCAA rules.
• Highly professional and comfortable around donors, senior administrators, coaches, and other staff.
• Strong attention to detail and ability to take initiative in special projects and daily tasks.
