Position Summary
The Executive Associate serves as the primary speechwriter, content developer, and executive communicator for the President and CEO of Morehouse School of Medicine ( MSM ) while providing high-level administrative and project management support. This role requires someone with exceptional writing skills, is highly organized, has an executive presence and is a strategic thinker who has the ability to manage multiple high-priority assignments efficiently. The executive associate will serve as a trusted adviser to institutional leadership, demonstrating maturity, stability, flexibility, sound judgement, discretion, stress tolerance, and the ability to put things in perspective in a dynamic high-profile environment.
Executive Office Communication:
+ Serve as the primary speech writer and communicator for the President.
+ Demonstrate full understanding of the President’s voice through the first draft of each communication.
+ Plan, design and conduct all speech writing, presentations, newsletter content, town hall messaging, board reports, and agenda development.
+ Prepare materials, slides, videos, or other requests that present general medical, life sciences, and academic information.
+ Support the Chief of Staff on prioritizing assignments provided by the President to manage daily workflow.
+ Act as a trusted liaison for the Office of the President and CEO ( OPC ).
+ Schedule and reserve time for weekly or daily meetings with the President to ensure alignment, checking in both verbally and in person.
+ Ensure the President and CEO stays informed maintaining constant communication via text, phone, and email communication.
+ Maintain constant communication with the President and CEO via text, phone, and/or email to ensure she stay informed.
+ Demonstrate a high-level of emotional intelligence, self-awareness, and the capacity to remain calm and composed in high-pressure situations.
Executive Office Management & Support:
+ Serve as the primary administrative support for the President and CEO , managing daily operations of the Executive Office.
+ Perform a variety of administrative duties with wide latitude for exercising discretion and judgment, including correspondence with necessary accreditation agencies and national boards.
+ Respond to correspondence on behalf of the OPC and, where appropriate, the President and Chief of Staff.
+ Oversee the President’s schedule, travel, and meeting logistics, ensuring optimal time management and prioritization of strategic initiatives.
+ Manage confidential and sensitive information with discretion and professionalism.
+ Manage competing demands for meetings across the institution.
+ Schedule team and Executive Leadership one-on-one meetings, ensuring a regular cadence is occurring. This position plays a critical role in bringing people together and thinking about what goes into making those meetings or gatherings meaningful.
+ Maintain continuous calendar management to ensure the President and CEO is present and on time.
+ Ensure the President and CEO is fully prepared in advance with appropriate resources, materials, handouts, flip charts, room reservations, catering etc.
+ Act as the primary point of contact for the President’s Office, triaging requests and ensuring effective communication with leadership, faculty, staff, and external partners.
Executive Office Project & Strategic Initiative Support:
+ In concert with the Chief of Staff and Executive Assistant, provide project management support for strategic initiatives led by the President’s Office, ensuring timely execution and alignment with institutional goals.
+ Track, monitor and follow up on key action items, deadlines, and deliverables related to ongoing projects and engagements.
+ Coordinate with various departments to facilitate cross-functional collaboration on major projects, policy initiatives, and institutional priorities.
+ Develop project timelines, track progress, and identify potential risks or roadblocks, ensuring smooth execution of initiatives.
+ Submit work deliverables on time with the accompanying high-quality results.
+ Assist in drafting and reviewing strategic documents, including white papers, reports, and project proposals.
+ Work in partnership with the Board Liaison on coordinating materials and follow-up communications.
+ Demonstrate proactive support of deliverables by anticipating project needs, assisting with the completion of tasks and projects through final deliverables or outcomes. Work deliverables include, but are not limited to, submitting a presentation to leadership council, creating an announcement for marketing and communication, ordering gifts or responding to correspondences.
Executive Office Collaboration:
+ Collaborate with the Marketing and Communication team on all executive institutional communication to ensure that the work product aligns with the President’s voice and MSM brand.
+ Manage high-priority projects designed to achieve the Institution’s mission and strategic vision.
+ With the support of the Chief of Staff, prioritize requests and projects ensuring that deadlines are meet and work is submitted in a timely manner.
+ Demonstrate maturity and executive function in the coordination of speaking engagements.
+ Ensure scheduling is coordinated, planned, and sequenced.
+ Build and maintain successful working relationships with a wide range of stakeholders, staff and internal and external partners to the Institution.
+ Demonstrate understanding that all activities from the Office of the President have a connection to the strategic direction of MSM , including when projects seem personal in nature.
Executive Office Routine Operations:
+ Respond to routine inquiries for the Chief of Staff to ensure matters requiring the attention of executive leaders are thoroughly developed, researched, and evaluated.
+ Complete calendar and meeting management providing weekly and daily calendar updates in a timely fashion.
+ Provide executive briefing for all speaking engagements along with ensuring written support, such as notecards, thumb drives, and visual presentations are available for all engagements.
+ Reconcile expenses and submit billing invoices and vendor payment requests to the finance department.
+ Develop a system for tracking all invoices, expenses, etc.
+ Assist with cost analyses, projections, reporting, and fundraising efforts.
+ Ensure seamless coordination of presidential engagements, including speaking events, donor meetings, and legislative interactions.
+ Track speaking engagement honorariums in partnership with the Executive Associate.
+ Partner with staff who volunteer support and guidance.
+ Collaborate with other Executive Administrative Assistants on the Executive Leadership Team to fully support the President and CEO with planning efforts throughout the institution.
Required Minimum Knowledge, Skills, Abilities and Training:

+ Knowledge and proficiency with various word processing and social media applications and programs.
+ Knowledge of the goals, objectives, structure, and operations of an academic and/or health professions institution.
+ Ability to gather data, compile information, and prepare reports.
+ Ability to perform complex tasks, prioritize multiple projects with adherence to strict deadlines.
+ Ability to create, compose, and edit correspondence and other written materials.
+ Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
+ Skilled in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
+ Ability to interact and work effectively with administrators, academic leadership, faculty, students, community leadership, public officials, funding agencies, and members of the community at large.

+ Employees in this job title are subject to the terms and conditions of an employment contract.
+ Employment contracts are typically subject to review and renewal on an annual basis.
+ Employees who provide services or work in patient care or clinical areas are required to follow the institution’s influenza vaccination requirement and COVID -19 testing and screening protocols.
Minimum Qualifications
+ Bachelor’s degree from a regionally accredited college or university is required.
+ Minimum of six (6) years of experience directly related to the duties and responsibilities specified.
+ Completed degree(s) from a regionally accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.
Preferred Qualifications
+ Master’s degree from a regionally accredited college or university is preferred.

It is MSM’s Immunization policy that all Prospective Employees are encouraged to provide proof that they are vaccinated against COVID -19 prior to commencement of employment.
