    UCHealth Anschutz Medical Campus, Aurora, CO

    Position Details

    + Full Time, 80 hours per pay period (2 weeks)

    + Monday - Friday from 8am - 5pm

    + Pay: $27.61 - $41.41 per hour (based on relevant experience)

    Summary

    As the Executive Assistant to the Vice President of Ancillary and Support Services, you will be responsible for providing high-level administrative support, including receiving and screening customers and phone calls, preparing correspondence and reports, scheduling and coordinating various events, and handling confidential information with discretion. You will need to possess critical thinking skills, decisive judgment, and the ability to work autonomously in a fast-paced environment. Additionally, you will collaborate with other executive assistants and ensure seamless communication across departments to support the vice president's initiatives and organizational goals. This position is an onsite role and does not offer a hybrid or remote work option.

    Responsibilities

    + Receives and screens customers and telephone calls, using independent judgment to prioritize and respond to inquiries and requests.

    + Prepares and/or supervises the preparation of correspondence, forms, reports, and other written communications as required.

    + Schedules and coordinates meetings, conferences, special events, appointments, and travel arrangements while maintaining assigned calendars.

    + Originates, prepares, processes, and edits personnel, financial, or operational reports and documents.

    + Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision in a fast-paced environment.

    + Coordinating and preparing materials for meetings, including agendas, presentations, and minutes.

    + Maintaining confidentiality of sensitive information and handling confidential correspondence with discretion.

    + Collaborating with other executive assistants and team members to ensure alignment and effective communication across departments.

    + Overseeing special projects and initiatives as assigned by the vice president, ensuring timely and successful completion.

    + Maintaining an organized filing system for both physical and digital documents, ensuring easy access and retrieval.

    + Assisting with budget management, including expense tracking, invoice processing, and financial reporting.

    + Liaising with external stakeholders, including clients, vendors, and partners, to represent the vice president's office professionally and effectively.

    + Anticipating the needs of the vice president and proactively addressing issues before they arise.

    + Ensuring the vice president is prepared for all engagements by providing relevant materials, briefings, and background information.

    Requirements

    + Education: High School diploma or GED

    + Experience: Minimum of 5 years of administrative support experience, preferably in a healthcare setting supporting executive-level leaders.
