Description
We are looking for a detail-oriented Project Coordinator to join our team in Minneapolis, Minnesota, on a long-term contract basis. In this role, you will provide essential sales and project support to ensure seamless execution of client orders, ranging from initial proposals to final installations. This is a dynamic position that involves close collaboration with both internal teams and external partners to deliver exceptional service.
Responsibilities:
• Prepare accurate quotes and orders for both standard and custom client requests.
• Coordinate and oversee client orders, including communicating order statuses and resolving issues with clients and team members.
• Monitor vendor acknowledgments and address discrepancies to ensure timely and accurate product delivery.
• Expedite shipping schedules to meet client deadlines and work with vendors or shippers to resolve logistical challenges.
• Investigate and resolve invoice discrepancies with vendors and clients to facilitate timely payments.
• Partner with project teams to address delivery and installation issues, including ordering replacement parts when necessary.
• Assist the sales team with bid preparation, proposal responses, and project closeouts.
• Participate in project meetings to provide updates and ensure alignment on timelines and deliverables.
• Train and mentor new team members on processes and systems, fostering a collaborative and efficient work environment.
Requirements
• Proficiency in Microsoft Excel and experience working with order management systems
• Strong verbal and written communication skills to effectively collaborate with diverse teams and clients.
• Excellent problem-solving abilities with a focus on critical thinking and attention to detail.
• Proven ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
• Adaptability to thrive in a fast-paced and continuously evolving environment.
• Strong interpersonal skills to build and maintain positive relationships with internal and external stakeholders.
• Demonstrated ability to take ownership of tasks and ensure timely execution.
• Experience in coordinating complex projects, including managing timelines and resolving issues.
