Job Title: Project Manager – Accounts Payable Optimization & Vendor OnboardingJob Description
We are seeking a hands-on and detail-oriented Project Manager to partner with our Accounts Payable (AP) team in triaging, managing, and resolving a significant invoice backlog. This role will also lead efforts around onboarding new and existing vendors to ensure timely and future-ready payment processing. This is a dynamic, fast-paced opportunity requiring strong organizational and problem-solving skills, a systems implementation mindset, and the ability to drive clarity through structured frameworks and documentation.
Responsibilities
+ Collaborate with the AP team to assess, prioritize, and resolve outstanding invoice issues.
+ Lead efforts to onboard new and existing vendors, ensuring readiness for payment now and in the future.
+ Develop and implement frameworks to structure problem-solving efforts and track progress effectively.
+ Identify critical metrics to monitor; implement and maintain robust tracking systems for transparency and accountability.
+ Apply critical thinking to analyze issues, determine root causes, and work with relevant teams to identify solutions.
+ Proactively identify, communicate, and manage risks; summarize key risks for senior leadership with clarity and precision.
+ Articulate complex issues to both technical and non-technical audiences; communicate clearly with cross-functional teams including Zip and senior management.
+ Work in fast-paced mini-sprints, adapting quickly to shifting priorities and managing several high-priority deliverables simultaneously.
+ Document learnings and best practices throughout the project lifecycle to support continuous improvement.
Essential Skills
+ Strong end-to-end understanding of Accounts Payable processes, including invoice intake, processing, approvals, and payment execution.
+ In-depth knowledge of 3-way match principles (PO, invoice, receipt) and how they apply within AP workflows.
+ Understanding of cross-functional interdependencies with Procurement (PO creation and vendor selection), Treasury (cash flow and payment scheduling), and the General Ledger (accounting accuracy and reconciliation).
+ Experience in process improvement and optimization, including workflow redesign, standardization of procedures, and automation opportunities.
+ Ability to identify process bottlenecks and root causes and drive meaningful change through analysis and collaboration.
+ Proven success in designing and implementing KPIs and dashboards to monitor AP performance, track efficiency, and support data-driven decision-making.
+ Strong background in change management, including communication, training, and user adoption strategies to ensure smooth transitions and stakeholder engagement during process or system changes.
+ Capability to document policies, procedures, workflows, and performance metrics to ensure knowledge transfer, standardization, and operational continuity.
+ Solid experience with change management and user adoption strategies, including training, stakeholder communication, and post-implementation support.
Additional Skills & Qualifications
+ Proven experience as a Project Manager, ideally within finance, AP operations, or system implementations.
+ Hands-on project execution with a roll-up-your-sleeves attitude.
+ Strong attention to detail and ability to work independently in asking clarifying questions and constructively challenging the status quo.
+ Demonstrated ability to manage multiple priorities under time constraints.
+ Exceptional verbal and written communication skills.
+ Ability to analyze systems and collaborate closely with technical and operational teams.
+ Experience with documenting deliverables, lessons learned, and outcomes.
+ Strong understanding of process optimization and resource planning.
+ Prior involvement in AP system implementations or financial system rollouts.
+ Familiarity with vendor onboarding processes and third-party procurement or payment platforms (e.g., Zip, Tipalti, Bill.com, Coupa, SAP).
Work Environment
Since the ERP implementation of NetSuite and ZIP, the integration hasn't stabilized. This 3-month role requires someone to jump in and stabilize the system, perform root cause analysis, and strategize solutions. The work environment is dynamic and requires a proactive attitude. The successful candidate will need to roll up their sleeves, document policies and SOPs, and analyze data to drive improvements.
Pay and Benefits
The pay range for this position is $40.00 - $55.00/hr.
