The scheduling coordinator is responsible for the coordination of business office activity. This position involves knowledge of all computer software utilized in daily operations. The scheduling coordinator will be called upon to perform registration and check out, scheduling, and clinical duties within the scope of their competency, as well as staff training and supervision of above functions. The scheduling coordinator is responsible for obtaining insurance authorizations for testing, treatments and medications and for the documentation of these authorizations in the electronic medical record.
The scheduling coordinator will also participate in billing reconciliation and audits as needed. The scheduling coordinator should also be prepared to work on special assignments as requested by the nurse manager and director and keep leadership up to date with daily occurrences in the office. The scheduling coordinator will also be responsible for any other additional duties assigned by the leadership team.
EDUCATION AND EXPERIENCE REQUIREMENTS:
+ High school diploma or equivalent required. Graduate from a Medical Assistant Program or Phlebotomy Certification Program.
+ M inimum three (3) years experience in an office setting or healthcare environment is preferred, experience with oncology patients is ideal.
+ Excellent verbal and written communications skills and proficiency with electronic systems is required.
RESPONSIBILITIES OF THE POSITION:
+ Schedules patient appointment both in the practice setting and collaborates with other departments and offices to schedule patient appointments outside the practice setting
+ Build a relationship with patients, families and physicians and coordinates the treatment plan including appointments, tests and procedures.
+ Communicates and coordinates with external organizations and Internal departments to ensure that patients and families are actively involved in care planning
+ Obtains necessary pre-certification/authorization for tests, surgical procedures and other applicable items
+ Obtains necessary information and makes it readily available for the Physician, this information includes office, OR and pathology records; labs, imaging and new patient letters
+ Communicates and collaborates with Physicians, Patients, Office Staff and Hospital Staff. Provides feedback and listens effectively; enables customer satisfaction; is objective and follows the tenants of a Just Culture and High Reliability.
+ Tracks the performance of the care coordination or individual patients for quality assurance and performance improvement activities.
+ Provide safe, efficient and organized direct patient care under the direction of physicians, advance practice providers, registered nurses and other allied professionals
+ Maintain a clean and safe environment consistent with regulatory and patient safety principles
+ May perform technical skills for patient care. Skills may include: blood glucose monitoring; use of audioscope; obtaining culture; and assisting with procedures in the clinic
+ The staff member demonstrates the knowledge and skill necessary to provide care, based on physical, psychosocial, educational and safety related criteria, appropriate to the age of the patients served in his/her assigned service area. The skills and knowledge needed to provide such care may be gained through education, training and/or experience
+ Will demonstrate self-development and participate in provision of safety practices for themselves and other members of the health care team.
+ Serve as customers’ single point of contact for nonmedical issues.
+ Coordinates the resolution of any customer billing issues or concerns with appropriate subject-matter experts
+ Returns customer calls or emails in a timely manner.
+ Provides customer with a designated contact information
+ Adheres to the policies and procedures as out lined in the Exposure Control manual regarding standard precautions; bloodborne pathogen; disposal of needles; syringes and sharps; cleanup procedures for blood and body fluids spills; storage, handling and disposal of medical waste.
+ Adheres to hospital policies and procedures related to mandatory education and annual health assessment.
+ Performance of electronic medical record (EMR) duties.
+ Assists in data collection for the achievement of Commission on Cancer Accreditation and Quality Oncology Practice Initiatives (QOPI) in collaboration with the entire care team. Once achieved, works collaboratively with the care team to sustain accreditation and optimal quality of care.
+ Maintains a high reliability practice environment by adhering to The Joint Commission Standards and through constant participation in monitoring of the practice environment
+ Performance of care team duties and all other duties as assigned
PHYSICAL REQUIREMENTS
The position is located indoors under normal working conditions. Should be able to push/pull 25 lb., lift/move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a keyboard, writing and filing, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to sit at a computer terminal or work station for a prolonged period of time in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language in addition to being able to read the English language.

Salary Range: $16.63-24.11 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
