Position Summary
The Facility Operations Supervisor is a member of the University Center Operations team and is responsible for overseeing day-to-day operational activities of the University Center including the supervision of approximately 20 student custodial staff. This position identifies work unit resources needs, supervises, and develops effective custodial teams and/or coordinates project work to ensure the cleanliness, orderliness, and safety of institutional property. This position executes general work orders, supply inventory, equipment inventory and maintenance, snow removal and major custodial projects. The position provides support in budget preparation and project development and oversight. In addition, the position works closely with other University Center Operations staff to coordinate the support for events and activities throughout the building. The position reports to the Assistant Director of Event and Facility Operations. Work is performed under general supervision.
The performance responsibilities of this position involve directing and working at heights and in darkened facilities, moving weight loads sometimes exceeding 50 pounds, crawling with low head clearance, working on ladders and personnel lifts, and working outside of standard university office hours for staff trainings, and occasional weekend or emergency response coverage.
Responsibilities
A. Staff Supervision and Planning
+ Interview, select, train, supervise, evaluate, and review approximately (2-4) Student Custodial Leads and (18-24) Student Custodians.
+ Maintain records of employee assignments, attendance, schedules, and evaluations and recommend or initiate personnel actions such as promotions, transfers, disciplinary measures, and terminations.
+ Assign work areas, duties, schedules, and responsibilities to student custodial staff.
+ Collect and submit new student employee hiring paperwork and other human resources forms as appropriate.
+ Review and approve online student employee time entry.
+ Evaluate, develop, and implement effective facility care schedules.
+ Conduct onboarding and ongoing training sessions to ensure the proper introduction to the organization, safe use of equipment and supplies, and to promote overall job knowledge and safety.
+ Schedule and facilitate student custodial staff meetings and participate in University Center departmental meetings to communicate information in both directions of the organization and to ensure service responsibilities are met.
+ Recommend improvements in policies and procedure, service methods, equipment performance, use of equipment, and staff scheduling to increase efficiency and safety to assist with the successful operation of the University Center operations and programming.
+ Promote an environment of neutrality with respect to the operation of the University Center that supports a diverse population.
+ Identify work unit resource needs, manages workflow components, schedules logistics and secures resources for the completion of established projects by internal and external entities.
B. Facility and Equipment Maintenance and Planning
+ Provide support to event operations by assisting with event setup and care of meeting and event spaces as required.
+ Provide facilities and services that complement and supplement the mission of the university and focuses on student learning in a team environment.
+ Oversee purchasing and management of custodial and maintenance equipment, supply inventory, and maintenance of equipment and furniture.
+ Submit work orders when necessary, through the work order system and immediately report emergency situations to the appropriate department.
+ Implements the use of and provides training for new supplies/equipment to ensure adequate utilization.
+ Assist in regular building inspections and evaluation of furnishings and floor coverings to maintain a high level of appearance and make recommendations for repairs, upgrades, and replacement.
+ Perform limited building maintenance on the University Center as directed.
C. Leadership and Development
+ Attend training and development seminars.
+ Operate as an active member of the University Center Operations team to maintain a constant focus on teambuilding and ultimately team success.
+ Foster positive relationships with students, faculty, staff, alumni, and external constituencies that utilize university facilities, services, and programs.
+ Network with colleagues to keep abreast of current trends and issues in the custodial profession.
+ Represent the University Center and its satellite operations/facilities at major university functions and events.
D. Performance of Custodial Duties
+ Perform custodial related duties when needed to meet the ongoing needs of the University Center.
+ Assist Student Custodial Staff in the performance of major custodial projects.
E. Fiscal and Budget Management
+ Assure compliance with state and university purchasing policies and procedures
+ Prepare departmental and contractual purchase requisitions regarding custodial equipment.
+ Assist in the development of budgets for both annual and long-range plans for Custodial Services and develop budgets for major custodial projects.
F. Miscellaneous Duties
+ Maintain all University Center entrances and patios, this includes snow removal and treatment, and the coordination of the Snow Crew/Patrol team.
+ Serve as a backup for Building Manager on Duty and be available for emergency and on-call situations.
+ Serve on campus committees as requested and assigned.
+ Other duties as assigned.
Knowledge Skills and Abilities
Required Qualifications:
+ Bachelor’s degree from an accredited university or trade training equivalency
+ Three years operations and/or custodial experience
+ Excellent oral and written communications skills, comfort with public speaking, able to listen and learn, generate trust among various constituencies, and exercise good judgement
+ Strong interpersonal skills, work with diverse groups or individuals and building partnerships, able to operate comfortably and effectively in cross-functional teams throughout all levels of the organization, and function in both independent and team environments
+ Demonstrate analytical, problem solving, organizational and management skills
+ Effective supervisory skills, manage a variety of staff and projects simultaneously, and develop training and onboarding programs
+ Organize work tasks logically and efficiently, demonstrate ability to manage and prioritize multiple tasks, and to work with shifting priorities and schedules
+ Recognize safety concerns and adhere to safety procedures, communicate facility issues, read labels, and follow instructions for proper use of cleaning chemicals and custodial equipment
+ Able to perform manual labor including lifting of up to 50 pounds or more and possess a valid driver’s license
+ Basic knowledge of personal computers including word processing, spreadsheets, group calendar, email, electric files, and able to learn payroll system, and event scheduling system
+ Successful completion of a post-offer employment test
