    The **School of Humanities and Sciences (H&S)** is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 24 interdisciplinary programs.     Big Local News, situated in the journalism program in the Department of Communication at Stanford, allows journalists – whether freelancers, reporters from one company or collaborators across multiple news organizations – to share data and work together as they report out stories. Our work is designed to be journalist-driven and transformative, to help find solutions for local newsrooms’ ability to produce accountability journalism and create impact. The Stanford Journalism program’s mission is to serve the public’s need for facts in a just, self-governed society. We develop tools to make it easier to discover important stories and lower the cost of accountability journalism through better use of data and algorithms. We aim to be pioneers in the field of computational journalism, partnering with media and technology companies and with faculty and students from the social sciences and engineering.

    Position Summary:

    The Administrative Associate 3 will manage and coordinate administrative and operational functions for the Big Local News program within the Department of Communication. This role includes overseeing staff and students to achieve the research and teaching mission, goals, and objectives of the unit. The associate will collaborate with and influence faculty leadership on matters related to Big Local News.

     

    The Big Local News program is seeking an Administrative Associate to join our team in exploring effective ways to support accountability journalism through training, tools, and algorithms. This position will work closely with the leadership of Big Local News, which includes Founder and Co-Director Cheryl Phillips, Co-Director Serdar Tumgoren, and Faculty Director Dr. James T. Hamilton, to enhance the initiative's efforts in local journalism. At 95% FTE, the position will support project goals across Big Local News.

    This is a 95% FTE, 2-year fixed-term non-exempt position. It will be based on the Stanford campus and will be considered for a telecommuting option (a hybrid of working on-site and off-site), subject to operational need.

    CORE DUTIES:

    + Act on behalf of the supervisor, department manager, or chair to establish priorities and identify and resolve administrative problems.

    + Oversee and perform duties related to scheduling, organizing, and operating complex conferences, seminars, and events. This includes coordinating with vendors for services, managing the production and distribution of materials, administering logistics, and ensuring events remain within budget.

    + Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports. This includes substantial editing and fact-checking and maintaining the accuracy of content in various unit documents, displays, reports, brochures, social media, and websites.

    + Plan and schedule calendars with limited consultation, resolve scheduling conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

    + Create complex reports and spreadsheets, utilizing specialized software and systems as needed.

    + Oversee and process a variety of complex financial transactions, produce, monitor, and reconcile budget statements, and research and resolve discrepancies. Assist with capital or special equipment requests and vendor selection as necessary.

    + Coordinate and monitor the completion of routine maintenance services, as well as plan and coordinate office moves and minor renovation projects.

    + May lead staff or supervise the day-to-day work of students and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting deadlines, reviewing work for quality and timeliness, and providing input for performance reviews.

    MINIMUM REQUIREMENTS:

    Education & Experience:

    High school diploma and four years of administrative experience, or combination of education and relevant experience.

    Knowledge, Skills and Abilities:

    • Familiarity with spreadsheets and data analysis tools.

    • Familiarity or experience with journalism is a plus.

    The expected pay range for this position is $39.46 to $44.30 per hour.The actual pay will be pro-rated based on the 95% FTE.
