Description We are looking for a detail-oriented Payroll Administrator to join our team in Portage, Michigan. In this role, you will be responsible for ensuring accurate and timely payroll processing while maintaining strict confidentiality and compliance with regulations. You will also manage employee records, address payroll-related inquiries, and assist with year-end reporting and audits.
Responsibilities:
• Process weekly payroll in collaboration with the Payroll Manager, ensuring accuracy and timeliness.
• Review and verify timekeeping records for proper authorization and compliance.
• Distribute payroll checks and stubs to employees on scheduled pay dates.
• Maintain and secure payroll information and employee records in accordance with confidentiality standards.
• Set up new employees in the payroll system and update existing employee details, such as tax withholdings and address changes.
• Respond to inquiries related to employment verification, unemployment requests, and payroll discrepancies.
• Assist with year-end payroll tasks, including W-2 preparation, auditing, and the distribution of required notices.
• Ensure compliance with federal, state, and local payroll regulations and guidelines.
• Prepare monthly union reports and support union audits as needed.
• Utilize the E-Verify system as a backup and maintain accurate wage and union codes in the payroll system. Requirements • A minimum of 1-3 years of hands-on payroll experience, or an equivalent combination of education and training.
• Proficiency in using payroll and accounting software, such as Spectrum and ADP Workforce Now.
• Strong skills in Microsoft Office Suite, including Word, Excel, and PowerPoint.
• Exceptional attention to detail, organizational skills, and the ability to handle confidential information.
• Effective time management abilities to meet deadlines and prioritize tasks.
• Strong communication skills, both verbal and written, with the ability to interact professionally with employees and vendors.
• A team-oriented mindset with flexibility to manage multiple projects simultaneously.
• Familiarity with employment verification systems, such as E-Verify, is a plus.
