Position Overview
The Graduate Recruitment Coordinator at Tarleton State University supports strategic recruitment efforts that increase awareness, generate inquiries, and drive applications to graduate programs across all modalities. Reporting to the Associate Director of Graduate and Global Recruitment, this position plays a critical role in early-stage engagement, facilitating top-of-the-funnel interactions through targeted outreach, collaborative academic partnerships, and dynamic event execution.
University Recruitment at Tarleton State University is a collaborative, student-centered team committed to increasing enrollment through a unified outreach approach. While individual roles are focused on either undergraduate or graduate recruitment, all staff are expected to maintain a broad understanding of both areas. Team members are encouraged to support informed, student-first conversations that reflect the full range of academic opportunities at Tarleton State. All staff also contribute to on-campus recruitment efforts across the university’s locations, including Stephenville, Fort Worth, Waco, and Texas A&M-RELLIS.
This is a remote position based in North Texas. The Graduate Recruitment Coordinator must reside in the region and be able to travel locally for recruitment events and occasionally to other locations across the state, including Tarleton State’s multiple campus locations. General working hours are Monday through Friday, 8:00 AM to 5:00 PM or as business needs indicate.
This position requires a flexible work schedule with regular evening and weekend hours, especially during peak recruitment periods.
Responsibilities
Recruitment and Engagement Initiatives
+ Represent Tarleton State University at recruitment events including fairs, webinars, open houses, and campus visit experiences
+ Coordinate and deliver professional, compelling presentations across digital and in-person platforms
+ Engage with prospective students, employers, school districts, community organizations, and corporate partners to promote graduate programs and increase visibility
+ Collaborate with the graduate recruitment team to plan, promote, and staff meaningful engagement experiences that reflect program strengths and student outcomes
+ Manage travel logistics and complete expense reports in accordance with university policy
Inquiry Generation and Prospect Engagement
+ Engage in targeted outreach efforts that generate inquiries and build early-stage connections with prospective graduate students
+ Serve as the primary point of contact during the pre-application phase, providing consistent, student-centered communication
+ Provide accurate, relevant information about graduate program offerings, admissions requirements, scholarship opportunities, and important deadlines
+ Respond across multiple channels and maintain detailed engagement records within the CRM system
+ Track prospect engagement data to support reporting and continuous improvement.
+ Contribute insights from engagements with prospective students and enrollment funnel activity to inform team strategy discussions
Academic Collaboration and Community Outreach
+ Partner with academic departments to ensure outreach reflects program offerings, faculty expertise, and student outcomes in a way that resonates with prospective audiences.
+ Cultivate external connections with employers, school districts, and community-based organizations that can help amplify access to graduate opportunities.
+ Contribute to regional and audience-specific strategies that enhance presence in priority markets and strengthen overall reach.
Required Education and Experience
• Bachelor’s degree or equivalent combination of education and experience• Four (4) years of experience in recruitment, higher education, marketing, or a related area
Knowledge, Skills, and Abilities
+ Graduate Recruitment Insight: Understanding of prospective student motivations, inquiry behavior, and the graduate admissions process
+ Communication: Strong written and verbal communication skills with the ability to engage a wide range of audiences professionally and effectively
+ CRM and Technology Proficiency: Experience using Salesforce, Capture HigherEd, SMS-Magic, or similar platforms to manage engagement and outreach
+ Relationship Management: Ability to cultivate productive partnerships with faculty, staff, and external contacts
+ Organizational Skills: Excellent attention to detail and the ability to manage competing priorities in a fast-paced environment
+ Data-Informed Approach: Proficiency in interpreting recruitment data and applying insights to improve strategy and performance
+ Adaptability and Initiative: Demonstrated ability to work independently in a remote setting while contributing to a larger team vision
+ Detail-Oriented Documentation: Commitment to accurate data inputs, activity tracking, and internal documentation that supports continuity and team-wide visibility
+ Collaboration and Team Communication : Ability to work effectively across teams and locations, contributing to a positive, connected, and mission-aligned work culture
+ Physical Requirements : Ability to lift up to 50 pounds and stand for extended periods during recruitment events
+ Schedule Flexibility: Willingness to travel and work evenings or weekends as needed for recruitment activities
Essential Regional Functions
+ Must reside in North Texas and be able to travel to campus as needed.
+ Primary travel will be in Collin, Denton, Dallas, Rockwall, and surrounding counties.
+ Ability to work remotely with reliable internet access and space to store recruitment materials
+ May need to use a personal vehicle for travel to events, with mileage reimbursed per state regulations

Commensurate with experience
Salary Range
The target base annual salary range is $52,185 to $68,330.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
