Description We are looking for an experienced and detail-oriented Executive Assistant to provide comprehensive support to the Executive Director and senior leadership team. This Contract-to-permanent position offers an exciting opportunity to work with a leading non-profit organization in Jacksonville, Florida. The ideal candidate will demonstrate exceptional organizational and communication skills to ensure seamless day-to-day operations and high-level administrative functions.
Responsibilities:
• Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and discretion.
• Draft, review, and organize correspondence, reports, presentations, and other documents.
• Coordinate and facilitate meetings and events, including preparing agendas, materials, and minutes.
• Act as a liaison between senior leadership and external stakeholders, including members, partners, sponsors, and board members.
• Oversee office operations, ensuring smooth daily functionality and efficient resource management.
• Arrange travel and accommodation for senior leadership and staff as needed.
• Assist in tracking expenses, processing invoices, and managing budgets for the Executive Office.
• Support special projects and initiatives by coordinating tasks, timelines, and deliverables.
• Maintain confidential records, files, and documents with a high level of accuracy.
• Utilize virtual meeting platforms such as Zoom and Microsoft Teams to facilitate both in-person and remote engagements. Requirements • Bachelor’s degree preferred, with 3-5 years of experience as an Executive Assistant, ideally within a non-profit or similar environment.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Experience with virtual meeting platforms such as Zoom, Microsoft Teams, and Cisco Webex.
• Strong organizational and time-management skills, with the ability to prioritize multiple tasks effectively.
• Outstanding written and verbal communication skills, with a keen attention to detail and professionalism.
• Demonstrated ability to handle confidential information with discretion.
• Familiarity with tools such as ADP, Concur, CRM systems, and Kronos Timekeeping is a plus.
