This position provides direction and leadership for the operations and student engagement activities within the Foster Undergraduate Program. The director of operations is a member of the undergraduate program leadership team which plans, implements, and manages programs, and oversees activities for students while establishing goals and strategy for the undergraduate program. This position is one of a working manager who can be successful in his/her own tasks and lead a team to contribute to the success of the Undergraduate Program.
DUTIES AND RESPONSIBILITIES** **Direct Operations of the Undergraduate Program (50%)
• Admissions
o Develop policies and procedures to support undergraduate admissions to the Foster School
o Supervise all processing of 1500 annual standard admission applications to the Foster School’s undergraduate program.
• Train staff on review process, function as subject matter expert for team.
• Liaise with academic departments to ensure course transferability.
• Use independent judgement for setting cutoffs.
• Advise senior leadership about trends and recommendations.
• Manage the budget associated with admissions process.
• Writing Skills Assessment Oversight
o Schedule upcoming assessments and ensure prompt posting for registration.
o In collaboration with the lead scorer, regularly review prompts and determine use/distribution schedule.
o Ensure quick turnaround of scores through management and scheduling of the scoring team.
o Communicate among campuses and manage the tri-campus registration tool.
o Provide direction, training, and supervision to WSA scorers.
• Data Management
o Identify, design, and deploy data and process solutions that enable strategic initiatives and operational improvements consulting with undergraduate program staff to identify UW resources to meet needs.
• Maintain a calendar of reports needed within the department to support ranking requests, accreditation reporting, benchmarking, and undergraduate program assessment.
• Support staff in the need for life cycle reporting systems for students from interest and recruitment to admission and beyond graduation.
o Interface with UW systems to accurately identify and pull undergraduate student information not only to create reports, track student retention and progress but also to enhance communication with students.
o Apply effective communication to understand and represent needs of various stakeholders (staff/faculty, student as well as campus and external partners) to provide feedback loops allowing improvement of the undergraduate program overall.
o Work with users, IT, and other stakeholders to articulate needs, define project objectives, establish and manage project schedules, track deliverables from all interested parties, and provide regular project status reports to ensure that goals and deadlines are clearly communicated and software products are delivered on schedule and meet business goals.
o Establishes and administers processes and procedures for student records management, archiving, and destruction, in collaboration with the University Registrar and in compliance with all relevant regulations, policies, and standards for the maintenance, handling, and disposition of student and institutional records.
o Drives the use of Salesforce, the CRM utilized for admissions, scholarship applicant reviews and lifecycle of students across Foster undergraduate programs.
• Liaison to the Foster IT department, independently making decisions regarding the strategy and administration of technical solutions for the undergraduate program, interacting with vendors (new and existing) and oversees technical solutions to business practices.
• Strategic oversight of undergraduate scholarship processes
o Interface with Foster Advancement to ensure scholarships are awarded based on donor requirements within technical limitations of scholarship application and underlying database.
o Establish, with Foster Advancement, amounts of individual scholarships based on University guidelines and funds available.
• Staff Management
o Provide direction and supervision to staff charged with operations including admissions activities, writing skills assessment review, scholarship administration, database support, graphic design, and social media as well as indirect supervision of student workers.
o Supervisory duties include hiring, performance management, training, discipline, merit, and promotion recommendations.
• Collaborate with the Assistant Dean for the Undergraduate Programs to create the annual course forecast with the five academic departments in Foster.
Direct Student Engagement of the Undergraduate Program (40%)
• Develop policies and procedures to support student engagement, student leadership and co-curricular learning of undergraduates in the Foster School.
o Direct student engagement activities such as welcome week, yield events, Business Week, partnerships with residential life plus the graduation celebration serving over 200 undergraduates in the Foster School.
o Direct activities for the oversight of 30+ student organizations serving over 40% of the undergraduate population as well as student leadership programming provided to undergraduates outside the classroom.
o Direct case competitions offered within the Foster School (senior capstone project and first-year case competition) as well as competitions sponsored by other peer institutions and student organizations at Foster.
• Staff Management
o Provide direction and supervision to staff charged with student engagement efforts within the Foster School including oversight of case competitions, student organization support, and community building events/activities.
o Supervisory duties include hiring, performance management, training, discipline, merit, and promotion recommendations.
• Manage the budget for the Student Engagement, Leadership and Learning team including advocating for innovative programs and controlling the costs of existing ones.
Support the mission of the Undergraduate Program (advising, career, diversity, and student services) (10%)
• Serve and participate on Foster and University committees as assigned or designated.
• Support Foster Undergraduate Programs events and participate fully in a fast-moving team environment where everyone is expected to roll-up their sleeves and contribute whenever possible.
Other duties as assigned.
MINIMUM REQUIREMENTS
A Master’s degree or equivalent combination of education and experience, and at least three years of admissions, student services, data/operations management, or related experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS
Must have extensive experience in staff supervision, program implementation plus budget oversight capabilities. Proven ability to multitask and prioritize in a fast-paced environment plus an ability to set and meet goals and adapt quickly to changing priorities.
Energetic self-starter with a get-it done attitude and collaborative disposition. Excellent interpersonal and communication skills, including public speaking and articulating ideas clearly in person and in writing.
A willingness to support Foster Undergraduate Programs events and participate fully in a fast-moving team environment where everyone is expected to roll up their sleeves and contribute whenever possible.
Must be able to work professionally and effectively communicate across various demographics within community organizations, high schools, colleges, and the business community (e.g. the Dean and Foster School Leadership, students, alumni, faculty, staff, business partners, donors, and community) for the purpose of building partnerships.
DESIRED QUALIFICATIONS
• Experience working with WA State underserved populations.
• Familiarity with the administrative structure of a large university.
WORKING CONDITIONS
• Must be able to lift/move 30lbs and stand for long periods of time at events.
• Expected to perform the follow or is a critical part of this position; standing, sitting, walking, hand dexterity (keyboard/repetitive movements), reading, writing, hearing, talking, seeing, using the telephone, contact with the public, working alone.
• May work evenings and weekends to support events, and project deadlines.
