    Job Summary

    The Office of Alumni Relations (U Alumni) seeks an organized, passionate, energetic, collaborative, team-oriented and outgoing professional to support the work being done in by the U Alumni Engagement Team. The **Alumni Engagement Coordinator** will join a team of professionals to help advance the mission of U Alumni: Creating, fostering, and preserving lifelong relationships between the university and U alumni, U students, and the community. We align with the University of Utah and University President’s mission and strategy, while engaging alumni early, broadly, and in alumni communities; preparing students to become engaged alumni; establishing a culture of philanthropy; and encouraging pride in the U. This position reports directly to the Senior Advancement Director, Alumni Engagement.

     

    The Alumni Engagement Coordinator is responsible for the administrative tasks of the alumni engagement team; as well and the maintenance and responsibility of maintaining alumni records and data along while supporting the work of the Advancement Services team within University Advancement.

     

    The successful candidate will be highly organized with an attention for detail. The ability to work on various projects at once, and have a strong understanding of university financial systems, development and alumni engagement reporting standards, and a “can-do” attitude, willing to jump in and help team members, as needed.

    Responsibilities

    Under the direction of the Senior Director, the Administrative Officer will be responsible for:

    * Coordination, maintenance, and updating of alumni records, in collaboration with Advancement Services.

    * Collect, maintain, and report accurate engagement team metrics, in accordance with U Alumni’s engagement metrics, including reporting CASE Alumni Engagement Metrics for the University of Utah on an annual basis. This includes event attendance reports, communications reports, board rosters, and other alumni engagement reporting tools.

    * Develop and maintain reporting for engagement metrics for alumni engagement team members. Including event data such as attendance, budgets, survey responses, etc.

    * Communicate timely and effectively with colleges and units across campus on U Alumni engagement activities and results.

    * Administrative tasks for the Alumni Engagement Team including processing financial transactions, purchasing orders, purchasing cards, employee travel, and other administrative duties.

    * Support for the U Alumni Executive Assistant, including answering phones and working with visitors to the Cleone Peterson Eccles Alumni House, if needed.

    * Processing and mailing welcome kits to new chapter members and alumni donors.

    * Keep abreast of University Advancement and University of Utah Policy in regards to event execution, risk management, and other activities related to Alumni Engagement.

    * Other duties as assigned.

    Minimum Qualifications

    Bachelor’s degree in Business, Finance, or a related field, or equivalency (one year of education can be substituted for two years of related work experience). Three years experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.

     

    Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

    Preferences

    * Experience in Salesforce, or other CRM management software.

    * Experience in a non-profit or higher education office setting preferred.

    * An understanding of fundraising and/or community engagement.
