    Position Summary:

    Under immediate direction of the Director of Financial Aid, exercise effective management of the areas assigned providing direct supervision over assigned positions. Implement the department’s vision, goals and objectives. Provide oversight, development, and coordination of all elements of the areas assigned, including all activities related to the front office operations of Financial Aid.

     

    The Associate Director of Financial Aid will share in the responsibilities of administering federal aid, verification, loans, professional judgements, standard academic progress (SAP), Scholarships, Federal-Work Study, Default Prevention, and other related financial aid functions. This position is also responsible for maintaining financial aid and compliance for award packaging.

     

    Primary focus is on supervising financial aid counselors and front desk team, coordinating projects as assigned by the Director. Foster a culture of collaboration, mutual respect, innovation, and continuous improvement throughout the assigned department.

     

    This role requires a blend of student financial aid functional knowledge, technical expertise, management, customer service, and business analysis skills. This position also provides continued support and maintenance of the Office of Financial Aid and Scholarships (OFAS) software systems (including Banner) in addition to providing support to financial aid staff, student applicants, and internal and external stakeholders.

    Duties & Responsibilities:

    Compliance

     

    + Maintain professional knowledge of all federal and state financial aid regulations and reporting requirements; assist in policy adaptation and managing the office in compliance with all such regulations and policies

    + Perform quality assurance checks to ensure compliance with federal, state, and institutional policy with regards to financial aid packaging

    + Based on the outcome of these checks, modify training materials as needed

    + Package financial aid awards, disburse funds, notify students and agencies of disbursements and process necessary reports related to aid programs. Monitor and adhere to applicable federal aid, state, and institutional rules affecting aid eligibility; reviews and adjusts aid packages as required and in a timely manner

    + Creates and updates training materials to support the implementation of new and existing financial aid procedures

    + Works with Director and leadership team on annual review of Policy and Procedure manual. Assist leadership in continually developing and maintaining best practices.

    Customer Service:

    + Provide assistance and other resources to potential and current students, parents, staff, faculty, off-campus agencies, high school counselors, and scholarship donors

    + Coordinate the daily fluctuation of work schedules to maintain service levels

    + Assess the customer service needs of the financial aid office. Research, plan, coordinate, and/or lead programming, services, workshops, and meetings to address customer service needs

    + Assists students with estimating their educational expenses to calculate their needs for the year, and prepares a financial plan

    + Prepare and present information regarding financial aid and scholarships to various campus groups, high school students, parents/guardians, orientation sessions, workshops, and recruitment sessions

    + Review the processing of award determinations (including over-awards)

    + Work with staff to resolve complex problems involving eligibility, funding, awarding, and/or disbursement of funds

    + Oversee all aspects of the Satisfactory Academic Progress program, including review process, appeal processing, and training for appeals committee/academic advisors/department staff members.

    Knowledge/Skills/Abilities:

    Knowledge of student financial aid programs, standards, and procedures

     

    Knowledge of counseling and interview techniques

     

    Knowledge of Operational Processes

     

    Knowledge of Supervisory practices

     

    Exceptional customer service orientation

     

    Exceptional oral and written communication skills

     

    Must be able to communicate sensitive and/or complex information in a confidential and straightforward manner

     

    Must be a creative problem solver

     

    Must have the ability to data mine to extract data to support opinions and/or resolutions

     

    Proficient user of Microsoft Office and experienced in financial database systems (Banner)

     

    Must possess a high level of accuracy, self-motivation, strong attention to detail, and the ability to handle a heavy workload

     

    Familiarity with academic environment, policies and procedures

     

    Excellent organizational skills with the ability to organize and prioritize multiple complex projects and tasks simultaneously

     

    Demonstrated service aptitude and ability to work independently as well as with students, parents, and colleagues

     

    Must be willing to work additional hours when necessary.

    Monday - Friday

    8:00 a.m. - 5:00 p.m.

     

    Additional hours as requested and/or needed

     

    Regular and reliable attendance

     

    Occasional travel required for training and/or conferences

    Minimum Qualifications:

    An earned Bachelor's Degree

     

    Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
