*CONTRACT* Human Resources (HR) Coordinator
Reports To: VP of Human Resources
Position Summary:
The HR Coordinator provides vital support to the Human Resources department, ensuring the effective administration of recruitment activities, employee
communications, benefits management, timekeeping, and employee relations. This role will also assist with coordinating HR projects such as the quarterly employee newsletter and handling various ad hoc tasks to support the operational needs of a school bus transportation company.
Key Responsibilities:
•Recruitment Support
• Assist with posting job advertisements, screening applicants, and coordinating interviews for drivers, monitors, mechanics, and administrative staff.
• Maintain applicant tracking systems and support pre-employment background checks, drug screening, and DMV verification processes.
• Partner with branch managers to ensure a smooth and timely onboarding process.
Employee Communication
• Draft, edit, and coordinate the distribution of the company’s quarterly HR newsletter, ensuring content aligns with company updates, safety reminders, and employee engagement initiatives.
Benefits Administration
• Assist employees with benefits enrollment, changes, and general inquiries.
• Coordinate benefits communication during open enrollment periods.
• Serve as a liaison between employees and benefits vendors to resolve questions or concerns.
Time and Attendance Management
• Monitor and maintain employee time and attendance records.
• Assist in the review of weekly timesheets and ensure accuracy prior to payroll processing.
• Communicate with managers and employees regarding missed punches, overtime approvals, and leave requests.
Employee Investigations
• Support HR leadership in employee investigations by gathering documentation, scheduling meetings, and taking notes during interviews.
• Maintain confidential investigation files and assist with drafting formal notices, summaries, and disciplinary letters when needed.
General HR Administration
• Maintain HRIS records, personnel files, and compliance documents in accordance with legal and company standards.
• Support various HR projects and initiatives as assigned.
• Provide administrative support to the HR team including filing, reporting, and document preparation.
• Ad Hoc Duties
• Assist in organizing employee appreciation events and training sessions.
• Help coordinate compliance initiatives such as license renewals, safety training, and certification tracking.
• Perform other related duties as needed to support HR and operational priorities.
Qualifications:
• Bachelor's degree in human resources , Business Administration, or a related field required; bachelor’s degree preferred.
• 1-3 years of HR experience preferred, ideally in transportation, logistics, education, or a service industry setting.
• Knowledge of HR principles, employment laws, and HR best practices.
• Strong organizational skills with attention to detail.
• Excellent communication and interpersonal skills.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems; experience with timekeeping platforms preferred.
Working Conditions:
• Office environment with occasional visits to transportation branches.
• Must be able to occasionally travel to local branches for recruitment events, investigations, or training sessions.
Physical Requirements:
• Must be able to sit, stand, and walk for extended periods.
• Must be able to occasionally lift up to 20 pounds for event setups or HR material transport.
This is a contract position and is not considered a permanent employment position.
