LifeSTEPS is looking for a highly motivated and organizedExecutive Assistantfor theSacramento, CA area!This is a full-time, exempt position which will report to our Corporate Office, located in Sacramento, CA 95827. About the Position:
The Executive Assistant provides high-level administrative support to the Executive Director, Board of Directors, and occasionally the Executive Team. This role requires sound judgment, discretion, and a professional demeanor, as it involves handling confidential and sensitive information. The Executive Assistant will coordinate complex scheduling, prepare executive communications, manage organization-wide initiatives, and serve as a key liaison across internal and external stakeholders. Success in this role requires the ability to anticipate needs, manage multiple priorities with minimal direction, and consistently execute tasks with a high degree of accuracy and efficiency.
Core Duties include the following but not limited to :
+ Model, promote and live out the LifeSTEPS workplace values of integrity, innovation, empowerment, respect and personal growth in tandem with the Oz Principles.
+ Follow all LifeSTEPS policies, procedures and guidelines.
+ Manage sensitive documents and communications with the utmost discretion and confidentiality.
+ Schedule and coordinate meeting and conference call/video conferencing logistics for Executive Director; assist in meeting preparation.
+ Conduct research, compile data and develop LifeSTEPS presentations for Executive Director to deliver to a variety of key stakeholders. Schedule and coordinate presentations/speaking engagements for Executive Director.
+ Lead meetings and/or presentations as needed, including preparing agendas, presenting materials, and guiding discussions.
+ Arrange and manage travel-related logistics for the Executive Director and other leadership team members as needed.
+ Serve as a liaison with staff, partners, board members, as appropriate, for the Executive Director.
+ Assist the Executive Director and Chief Operating Officer in meeting preparation including collecting, preparing and dispersing materials, and tracking and following up on action items.
+ Review, analyze and summarize documents and communications for Executive Director.
+ Draft correspondence on behalf of Executive Director; proofread and edit documents for Executive Director.
+ Plan, direct and execute special projects at the discretion of the Executive Director in support of the organization.
+ Ensure execution of special projects by Senior Management and report to the Executive Director the status of said special projects.
+ Support LifeSTEPS involvement with housing organizations.
+ Coordinate and participate in statewide advocacy initiatives by researching and navigating third-party platforms to support and endorse relevant legislative proposals.
+ Participate in community projects statewide when directed.
+ Organize and execute various community engagement activities statewide
+ Serve as a representative for LifeSTEPS at housing membership organizations and industry events; manage membership renewals and maintain accurate records in the membership tracking log.
+ Attend various affordable housing policy meetings and work with the Executive Director to enhance LifeSTEPS’ services and knowledge of services to various community members and policy advocates.
+ Engage residents to help influence affordable housing policy by ensuring their participation in key policy decisions to support housing and other key impacts to poverty.
+ Engage and support some fundraising and social media activities as directed by the Executive Director.
+ Provide strategic viewpoints to the Executive Director.
+ Prepare for Board of Directors’ meetings and other Board related meetings.
+ Identify and correct any internal errors within LifeSTEPS’ systems through extreme attention to detail.
+ Maintain electronic Board files.
+ Create printed and electronic materials (e.g. databases, reports, forms, etc.) for the purpose of documenting activities, providing written support and/or conveying information.
+ Plan and organize Corporate/Management staff retreats.
+ Manage conference line and/or video conferencing schedules.
+ Oversee the administration of business licenses, ensuring timely renewals and compliance with local, state, and federal regulations.
+ Process daily incoming mail and maintain accounts receivable spreadsheet.
+ Respond to or screen email and telephone calls to the Executive Director in her absence.
+ Answer any incoming calls not directed to a specific extension and forward voicemail messages to the appropriate department.
+ This position will report daily to the corporate office to ensure well-developed relationships with other team members and help strengthen unity among staff.
+ May need to work some evenings and weekends to attend events or address situations of crisis.
+ Occasional overnight travel may be necessary.
Qualifications
Education and/or Experience and/or License Certification:
+ Bachelor’s Degree in Business Administration, Communications, or a related field; or an equivalent combination of education from a two-year college or technical school and relevant experience.
+ Minimum of 5 years of executive level administrative support experience, preferably in a non-profit setting and within a fast-paced, high-accountability environment.
+ Exceptional organizational skills, attention to detail, and proven ability to manage complex calendars, coordinate cross-functional teams, manage multiple projects simultaneously and maintain strict confidentiality.
+ Advanced computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneDrive, SharePoint, Forms), with the ability to navigate both Windows and Mac OS environments.
+ An equivalent combination of education and progressively responsible executive administrative experience may be considered in lieu of a degree.
